The National Events Associate is a key member of the National Events Team, providing operational, administrative, and logistical support for the planning and execution of complex national programs across multiple destinations. This role partners closely with National Senior Events Managers, the National Director of Events, and local teams to coordinate program deliverables, support cross-market collaboration, and ensure a consistent, high-quality client experience. The associate will independently manage smaller programs and assigned components, keeping timelines, budgets, client communications, supplier logistics, staffing details, and program documentation organized and on track.

Responsibilities

  • Support National Events Managers and the National Director of Events in planning and executing large-scale national programs across multiple markets and destinations.
  • Independently manage smaller national programs and assigned program components, including logistics, timelines, budgets, vendor management, and client communications.
  • Develop and maintain key program documentation, including program briefs, manifests, staffing plans, signage packages, transportation grids, and client deliverables.
  • Coordinate across multiple territories to ensure seamless execution and alignment with national program standards.
  • Attend and support site visits, planning meetings, and on-site program execution as assigned.
  • Assist in managing national account timelines, deliverables, and operational milestones.
  • Maintain proactive client communication to ensure deadlines, expectations, and deliverables are met.
  • Build trust with clients and internal stakeholders through responsiveness, professionalism, and attention to detail.
  • Partner with local events teams, sales, creative, procurement, and finance teams to ensure clear communication and successful program execution.
  • Source, evaluate, and coordinate suppliers while ensuring compliance with company standards and client goals.
  • Maintain accurate program information in Salesforce and other operational platforms.
  • Support budget development, estimates, reconciliations, scopes of work, invoices, vendor payments, and expense tracking.
  • Coordinate event staff assignments, communications, schedules, and training for on-site execution.
  • Troubleshoot operational challenges in real time and implement practical solutions.
  • Share best practices, lessons learned, and process improvements with the broader team.

Nice to have

  • Experience supporting or managing large-scale meetings, events, incentive programs, destination management programs, or multi-market programs.
  • Strong organizational skills with the ability to manage multiple programs, deadlines, and priorities in a fast-paced environment.
  • Experience working with clients, suppliers, vendors, and internal cross-functional teams.
  • Familiarity with Salesforce or similar CRM and operational platforms.
  • Budgeting, reconciliation, contract, invoice, and vendor payment experience.
  • Ability to adapt quickly to changing client needs, market conditions, and program requirements.
  • Strong written and verbal communication skills with a high level of professionalism and attention to detail.
  • A proactive, solutions-oriented mindset and comfort escalating risks or concerns when appropriate.
  • Interest in identifying process improvements, scalable tools, and best practices for national program execution.
  • Commitment to sustainability and identifying local or environmentally responsible supplier options when possible.
