The Executive Events Manager at Fairmont Southampton is responsible for planning and executing complex, high-value group programs and catering events from contract turnover through departure. This role serves as the primary liaison between clients, meeting professionals, and resort operations, ensuring seamless, personalized experiences while maximizing revenue and client satisfaction. The manager leads strategic oversight, event program management, and guest experience, collaborating with sales, revenue management, and operations to align event delivery with commercial objectives.

Responsibilities

  • Lead the planning and execution of complex, high-value programs, including luxury incentives, conferences, executive/VIP events and resort buyouts.
  • Collaborate with Sales, Revenue Management and Operations to align event delivery with commercial and operational objectives.
  • Proactively maximize revenue through food & beverage, AV, guestrooms, suites, event enhancements and resort experiences.
  • Monitor event revenue, profitability and performance while identifying opportunities for repeat business and continuous improvement.
  • Manage Sales-booked groups from contract turnover through departure and post-event follow-up, and catering-only groups from contracting through execution and billing.
  • Serve as the primary operational contact for meeting planners, executives, VIP clients and key stakeholders.
  • Manage all program requirements, including guestrooms, rooming lists, VIP arrangements, food & beverage, meeting specifications, AV, entertainment, décor, transportation and resort activities.
  • Prepare and distribute accurate BEOs, group resumes, floor plans and other event documentation.
  • Coordinate closely with all resort departments, DMCs and external vendors to ensure seamless program delivery.
  • Partner with Sales, Revenue Management and Operations to optimize function space, guestroom blocks and program flow.
  • Conduct planning meetings, site inspections, pre-convention meetings and operational briefings as required.
  • Maintain a visible onsite presence during key programs, proactively anticipating needs and resolving issues with urgency.
  • Develop contingency plans for outdoor events, weather and operational disruptions.
  • Ensure accurate event forecasting, billing instructions, master accounts and final reconciliation.
  • Conduct post-event reviews to assess client feedback, financial performance and opportunities for improvement.
  • Deliver personalized, memorable experiences aligned with Fairmont luxury brand standards and each client's program objectives.
  • Anticipate the needs of meeting planners, executives and VIPs and ensure exceptional attention to detail throughout the guest journey.
  • Handle client feedback and service recovery professionally and with urgency.
  • Foster strong collaboration across Sales, Events and Operations to create shared ownership of the client experience.
  • Provide leadership and support to Event Services colleagues and serve as a senior departmental resource to the Director, Events.
  • Support departmental training, SOPs, standards and processes, particularly through the resort's reopening and stabilization.
  • Build strong relationships with clients, meeting professionals, vendors and destination partners.
  • Support key site inspections, familiarization visits and client relationship activities.
  • Act as an ambassador for Fairmont Southampton and Bermuda within appropriate industry and community networks.

Requirements

  • Bachelor's Degree in Hospitality, Event Management, Business Administration or a related discipline preferred, or equivalent experience.
  • Minimum 5 years of progressive Conference Services, Event Management or Catering experience, preferably within a luxury resort, large convention hotel or incentive-focused property.
  • Demonstrated experience independently managing complex, high-value groups, luxury incentives, executive/VIP programs and large-scale events.
  • Strong understanding of luxury hotel operations, guestrooms, food & beverage and banquets.
  • Previous leadership and/or pre-opening experience is an asset.
  • Exceptional client relationship, communication and organizational skills, with the confidence to engage senior executives, meeting professionals and VIP clients.
  • Strong commercial and financial acumen, including event revenue management, forecasting, upselling and billing.
  • Proven ability to lead cross-functional teams, manage multiple complex programs and solve problems in a fast-paced luxury environment.
  • Strong knowledge of food & beverage, banquets, AV, event production and vendor management.
  • Proficiency with Opera Cloud, OSEM or comparable Sales & Catering platforms and Microsoft Office; CVENT experience is an asset.
