The Administrative Supervisor (Admin Lead) leads the event administration team, overseeing employee check-in and check-out, maintaining staffing records, managing equipment accountability, and ensuring compliance with company policies. This role is critical to event operations through organization, communication, and attention to detail. The supervisor coordinates with scheduling, logistics, and event management to resolve staffing issues and supports the administrative team during events.
Responsibilities
- Supervise employee check-in and check-out for assigned events.
- Verify uniforms, credentials, attendance, and compliance before deployment.
- Maintain accurate crew sheets, timekeeping records, staffing reports, and event documentation.
- Distribute, track, and collect radios and other assigned equipment.
- Communicate staffing updates and attendance reports to management.
- Coordinate with Scheduling, Logistics, and Event Management to resolve staffing issues.
- Ensure employees follow company policies and event procedures.
- Lead and support administrative team members during events.
- Verify all equipment is returned and employees are properly clocked out.
- Maintain a clean, organized, and professional check-in area.
Requirements
- Minimum 6 months of employment with the company (preferred).
- Strong leadership, communication, and organizational skills.
- Excellent attention to detail and accountability.
- Ability to multitask in a fast-paced event environment.
- Reliable attendance with minimal call-offs.
- Ability to work evenings, weekends, holidays, and flexible schedules.
- High School Diploma or equivalent.
- Valid California Guard Card.
- Reliable transportation
Nice to have
- Previous experience in event administration or supervision.
- Knowledge of company staffing procedures and timekeeping systems.
- Experience with equipment inventory and administrative documentation.
