The Day-of Event Coordinator ensures the successful execution of events by managing day-of logistics, coordinating vendors and staff, overseeing setup and timelines, and providing exceptional service to clients and guests. This position serves as the on-site liaison, ensuring events run smoothly from setup through completion while upholding the venue's standards of quality and hospitality.
Responsibilities
- Serve as the primary on-site contact for clients and vendors on the day of the event.
- Review and execute all event details according to the finalized Banquet Event Order (BEO).
- Conduct pre-event walkthroughs to verify room layouts, decor placement, signage, linens, and event setup.
- Coordinate event logistics by communicating with internal departments to ensure course and facility readiness.
- Monitor service flow during events and assist with guest needs when required.
- Coordinate ceremony, reception, presentations, entertainment, and other event transitions.
- Handle client requests and resolve issues promptly and professionally while minimizing disruption to the event.
- Communicate changes or special requests to the appropriate departments in a timely manner.
- Ensure all contractual venue policies and safety procedures are followed.
- Complete post-event checklists and incident reports when applicable.
- Support the Event Sales team by providing feedback on event execution and opportunities for process improvement.
- Build strong relationships with event hosts by addressing questions and ensuring satisfaction during events.Build strong relationships with event hosts by addressing questions and ensuring satisfaction during events.
- Deliver exceptional customer service while representing the venue in a professional, positive, and solution-oriented manner.
- Escalate concerns to the Director of Events or Event Manager when appropriate.
- Support American Golf initiatives and programs as directed by management.
- Perform additional duties as assigned.
Requirements
- Previous hospitality experience preferred.
- Strong customer service orientation and professional communication style.
- Highly organized with strong time management and follow-through.
- Comfortable working independently and managing multiple priorities.
- High school diploma required; associate degree preferred.
