The Event Sales Coordinator is responsible for assisting guests with booking, planning, and detailing events from initial inquiry through completion. This role focuses on providing exceptional guest service, building client relationships, maximizing event revenue through upselling, and ensuring event details are communicated to appropriate departments. The coordinator manages a variety of events including birthday parties, corporate outings, and social gatherings, and works closely with department managers to ensure successful execution.

Responsibilities

  • Manage the booking, planning, and detailing of a variety of events, including children's birthday parties, teen parties, bachelor parties, corporate team outings, and other social and group events.
  • Work with guests from the initial inquiry through the event planning process, providing consistent communication and follow-up.
  • Educate guests on Apex Entertainment's attractions, food and beverage offerings, event packages, and other services to help create the best experience for their needs.
  • Schedule and conduct professional and welcoming facility tours for prospective guests.
  • Accurately prepare event quotes, pricing, and Banquet Event Orders (BEOs).
  • Review event details, terms, conditions, and payment requirements with guests throughout the planning process.
  • Regularly communicate with guests regarding upcoming events to confirm details, answer questions, and address concerns.
  • Build positive relationships with guests to encourage repeat business, referrals, and positive reviews.
  • Identify opportunities to upsell event packages, attractions, food and beverage, and other offerings to maximize revenue.
  • Maintain accurate and up-to-date event and financial records and ensure payments are collected in a timely manner.
  • Assist with off-site community and street team events to promote Apex Entertainment and generate new business opportunities.
  • Maintain clear and consistent communication with all departments regarding upcoming events.
  • Attend weekly BEO meetings and work closely with department managers to ensure events are properly planned and executed.
  • Respond to general guest inquiries through phone calls, emails, and web chats in a timely and professional manner.
  • Assist with administrative tasks, including checking attraction reservations, adjusting online reservations, filing event invoices, and other duties as assigned by the Sales Manager.
  • Perform other duties and responsibilities as assigned.

Requirements

  • High School Diploma or GED equivalent required.
  • Excellent written and verbal communication skills.
  • Strong interpersonal and customer service skills with the ability to build positive relationships with guests.
  • Strong organizational and time management skills with excellent attention to detail.
  • Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
  • Proficiency with Microsoft Office applications.
  • Ability to accurately calculate figures such as discounts, proportions, and percentages.
  • Professional, courteous, and positive demeanor.
  • Self-motivated, dependable, and proactive.
  • Ability to work effectively as part of a team.

Nice to have

  • Associate's or Bachelor's Degree preferred.
  • 1-2 years of experience in sales, event booking, hospitality, or a related field preferred.
  • Previous experience preparing or working with Banquet Event Orders (BEOs) preferred.
  • 1-2 years of experience in the food & beverage and/or hospitality industry preferred.
