Legends Global is hiring an Event Coordinator for the Tucson Convention Center, including the Tucson Arena, Linda Ronstadt Music Hall, and Leo Rich Theater. The role oversees all aspects of facility operations related to events, from gathering tenant technical requirements and inspecting spaces to developing staffing schedules, preparing cost estimates, and monitoring billing. The coordinator works with the Box Office and related departments such as operations, audio/video, housekeeping, guest services, police, and traffic to ensure each event's contractual requirements are met. The position maintains complete event records and requires an irregular schedule to supervise events held in the facility.

Responsibilities

  • Communicate with tenants to obtain necessary technical requirements and other event related information.
  • Inspect buildings and specific meeting areas to evaluate suitability for occupancy, considering such factors as air circulation, lighting, location, and room size and event requirements.
  • Ensure that the equipment, physical set-up, and personnel provided meet the requirements of the event and the tenant’s contractual agreement.
  • Develop assignment schedules for all staffing requirements for the proper presentation of event.
  • Prepares cost estimates and monitors final billing.
  • Oversee all aspects of facility operations related to events.
  • Ensure all pertinent information is obtained, compiled in event files and distributed to proper entities. This includes but is not limited to compiling, filing, and distributing medical service reports, incident reports, ejections, arrest, parking lists, and staffing schedules.
  • Coordinate with the Box Office regarding technical and production requirements that impact sights lines and/or cause seating obstructions.
  • Oversee the participation of related departments, such as operations, audio/video, housekeeping, guest services, police, traffic, for facility activities.
  • Manage the preparation for upcoming events.
  • Clear, concise and timely communication to internal staff and clients a must.
  • Maintains thorough and complete event records.
  • Work irregular schedule to ensure proper supervision of all events and activities scheduled in the facility, as required.
  • Compile hours for EMTs, Police Officers, or any other subordinate staff or contract staffing.

  • Possess knowledge of building operations, maintenance, practices, and safety requirements.
  • Coordinate and satisfy the requirements of multiple events occurring simultaneously.

  • Engage in decisions related to crowd management in a prompt and decisive manner during crisis situations.

  • Operate standard office equipment and personal computer(s) using MS Office.
  • Operate AutoCAD design software.

  • Interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
  • Work effectively under pressure and/or stringent schedule and produce accurate results.

  • Follow oral and written instructions and communicate effectively with others in both oral and written form.

  • Ability to work irregular hours that may vary due to functions and may include day, evening, weekends, and holidays.

Nice to have

  • Bachelor’s degree from an accredited four-year college or university preferred.
  • Two (2) years related theatre/arena technical experience and/or training, or equivalent combination of education and experience preferred.
  • Knowledge of building operations, methods in setting up/tearing down events, all technical stage aspects which include, but are not limited to electrics, audio, rigging, crewing, and logistics for all stage systems, personnel and equipment is useful.
