The Junior Events Manager will plan and manage small to mid-sized group events, specializing in the short-term market. They will support the Events & Catering Coordinator with departmental document production and assist Event and Senior Event Managers with BEO and Resume creation. The role involves uncovering clients' event needs through creative selling, conducting site tours, and negotiating with clients to maximize revenue. They will also act as a liaison for vendor needs and ensure effective communication across departments for successful event execution.

Responsibilities

  • Plan and manage small to mid sized group events as assigned with a specialisation in the short term market.
  • Support our Events & Catering Coordinator with the general departmental document production and distribution to include, but not limited to amenity requests, BEOs, group and event resumes, daily event reports and in house events.
  • Support Event & Senior Event Managers will facilitate the facilitation of BEO and Resume creation to include assisting in obtaining/confirming event-related information (to include but not limited to site visit arrangements, food and beverage requirements, set up needs, preparing floorplans, event estimates, technical needs etc.)
  • Uncover clients’ event needs through a creative approach of selling a vision and experience, with a focus on food and beverage upsell, miscellaneous upsells and room rental capture
  • Conduct planning site property tours and entertain clients of group events while onsite.
  • Negotiate with clients through the use of creative event proposals and menu presentations to achieve maximum revenue potential while satisfying the clients’ needs
  • Plan and/or attend and/or participate in meetings with hotel staff and clients, including but not exclusive to: Morning Operations Briefing, Morning RevMax call, Resume Meeting, BEO Meeting, Pre-Con Meetings, Leadership Meetings, Menu Tastings, and Planning Visits.
  • Finalize the requirements of confirmed event bookings while maximizing revenue potential through up-selling and ensuring effective communication both written (Resumes, BEO, Daily Reports) and personal contact with all departments for the success of the event. Ensure accuracy of Banquet Checks and provide bill review on completion of program or event.
  • Act as the liaison for all vendor/supplier related clients needs, (i.e. Audio Visual, Florists, Entertainment, Transportation etc)
  • Exhibit a professional demeanor through appearance and by maintaining a positive attitude toward all team members and guests.
  • Be present to greet clients in advance of events, lead pre-conference introductions of clients to the team, check-in with them daily while onsite.
  • Develop strong relationships with the property front office team and food & beverage and culinary team to ensure working in unity and always striving to achieve the same goals.

Requirements

  • Any combination of education and experience that provides the required knowledge, skills, and abilities to perform the essential functions.
  • Bachelor’s Degree preferred.
  • Strong administrative experience (minimum of one year) is preferred.
  • Previous experience within the luxury market ,in a similar or related role.
  • Exceptional organizational skills.
  • Strong communication (telephone and in person).
  • Strong writing and oral presentation skills.
  • Requires knowledge of and ability to operate computer systems, including MS Office, Opera, Delphi or equivalent system, Social Tables or equivalent system.
