This role owns the day-to-day running of the Blue J office facilities, security, and supplies, acting as the go-to operational resource for on-site employees. You'll keep the office safe, well-stocked, and welcoming, coordinating with guests, vendors, and internal teams. You'll also plan quarterly company all-hands events at off-site venues and support in-office team celebrations throughout the year.
Responsibilities
- Plan and organize quarterly company all-hands events at off-site venues, including venue sourcing, logistics, and vendor coordination
- Coordinate catering and logistics for ad hoc team events, social gatherings, holiday celebrations, and milestone recognitions
- Manage employee experience for virtual and hybrid company events for special holidays, learning sessions, new hires
- Track event budgets and reconcile spend against plan for each event
- Maintain office and meeting-room supplies: place orders, monitor levels, and restock
- Maintain the storage room, keeping it organized and stocked
- Manage kitchen/pantry stocking and catering for meetings and in-office events.
- Own company shipping and receiving
- Manage vendor relationships (cleaning, repairs, supplies) and on-site vendors as needed
- Submit and track tickets for repairs and cleaning
- Serve as landlord / property-management liaison
- Serve as point of contact for office access and desk-booking systems (Eden and Kisi)
- Prepare quarterly office statistics reports on desk and meeting-room utilization.
- Own Joint Health & Safety Committee (JHSC) compliance responsibilities
- Run quarterly JHSC meetings and monthly office inspections
- Maintain first-aid supplies and emergency procedures
- Maintain the Office Handbook, keeping policies and procedures current.
- Own office-wide communications (closures, maintenance notices, event announcements, etc.)
- Own month-end reconciliation of the office expense credit card.
- Track and report against the office/facilities budget.
Requirements
- 3+ years in office management, facilities, or workplace operations
- Highly organized, hands-on, and proactive, with strong follow-through on maintenance and logistics
- Comfortable being the on-site face of the office for guests and staff, with excellent interpersonal and written communication skills
- Demonstrated experience managing vendors and negotiating service contracts
- Comfortable owning a budget and reconciling expenses accurately and on time
- Familiarity with workplace tools (e.g., Eden, Kisi, Float) an asset
- Proficiency with Google Workspace or Microsoft Office (Sheets/Excel, Docs/Word, Slides)
- First Aid/CPR certification, or willingness to obtain, an asset
- Post-secondary education in business administration or a related field, or equivalent practical experience
- Expected to be in-office 5 days per week
