The Marketing and Events Assistant at Live Oaks Golf Club, managed by Bobby Jones Links, supports event sales for The Reed House and Bunk House while also driving marketing efforts across all property outlets. The role combines hands-on social media content creation—photos, short-form videos, Reels, Stories, and captions—with administrative and client service support throughout the event sales and planning process. Working under the Director of Event Sales and in coordination with the General Manager, the assistant helps manage inquiries, proposals, booking documents, and event coordination, including some evening and weekend on-site support.

Responsibilities

  • Support marketing initiatives across all property outlets, following priorities established by the Director of Event Sales in coordination with the General Manager.
  • Create engaging social media content, including photos, short-form videos, Reels, Stories, and written captions that showcase the property, events, and guest experiences.
  • Develop and maintain content calendars with guidance, highlighting upcoming events, promotions, seasonal offerings, and event sales opportunities.
  • Schedule and publish approved content on Meta platforms, including Facebook and Instagram, using Meta Business Suite and related tools.
  • Monitor social media trends and recommend relevant content ideas, formats, and opportunities to reach new audiences.
  • Assist with email marketing campaigns and property communications, using approved messaging and templates.
  • Understand and follow brand guidelines and established best practices.
  • Apply feedback and ongoing training to create content that builds awareness of the property and maintains a consistent brand identity.
  • Learn to interpret social media analytics and use findings, with guidance, to improve content performance.
  • Maintain an organized library of photos, videos, and marketing materials, following property guidelines for brand consistency and client permissions.
  • Assist with promotional materials and other marketing projects as assigned.
  • Assist with initial event inquiries for The Reed House and Bunk House, gathering key information and coordinating timely follow-up.
  • Help maintain accurate lead records, track lead status, and document client communications and next steps.
  • Help coordinate site tours, client meetings, and follow-up communications for the Director of Event Sales.
  • Support the Director throughout the client journey, from initial inquiry and proposal preparation through booking, planning, and post-event follow-up.
  • Assist with preparing proposals, event information, and booking documents using established templates and the Director’s guidance.
  • Keep client files, calendars, and sales records organized and current.
  • Learn account management procedures, including tracking payment schedules, processing event payments, and maintaining accurate records under established procedures and supervision.
  • Refer questions about pricing, contract changes, payment exceptions, or other decisions requiring approval to the Director.
  • Learn to prepare detailed event plans, timelines, layouts, and internal planning documents under the Director’s guidance.
  • Gather and organize client preferences, attendance estimates, vendor information, and other event requirements.
  • Track planning deadlines, outstanding information, and client requests to help keep events on schedule.
  • Help communicate confirmed event details and updates to the appropriate property teams.
  • Assist with event preparation and on-site coordination as assigned, including some evening and weekend support.
  • Support post-event follow-up, client feedback collection, and account closeout.
  • Provide administrative and project support to the General Manager, with priorities coordinated through the Director of Event Sales.

Requirements

  • Interest or experience in at least one of the following: hospitality, sports marketing, or event and wedding marketing.
  • Working knowledge of Facebook, Instagram, and Meta tools, with hands-on experience creating social media content. Experience gained through internships, coursework, or volunteer projects is welcome.
  • Familiarity with content calendars, short-form video, and current social media trends.
  • Strong organizational skills, attention to detail, and the ability to manage tasks and deadlines with guidance.
  • Clear, professional written and verbal communication skills.
  • A welcoming, service-oriented approach to working with clients, guests, and colleagues.
  • Openness to feedback, ongoing training, and learning new tools and procedures.
  • Willingness to learn event sales, detailed event planning, account management, and payment procedures.
  • Availability to work on-site according to event and business needs, including some evenings and weekends.

Nice to have

  • A degree in marketing or a related field.
  • Experience creating content for a business, organization, team, or event. Internship-level experience is acceptable.
  • Familiarity with content creation and editing tools, such as Canva or comparable platforms.
