Candex is looking for an Event Specialist to own the end-to-end delivery of global events and customer experiences. The role involves taking events from concept through flawless execution, managing multiple stakeholders, and ensuring every aspect is delivered to a high standard. The specialist will work across cross-functional teams and be accountable for the success of each event.
Responsibilities
- Own the End-to-End Event Lifecycle
- Take full ownership of multiple events simultaneously, managing every stage from concept, planning, execution and post-event reporting.
- Translate ideas into detailed, executable project plans with clear timelines, milestones, dependencies and ownership.
- Drive projects forward independently, ensuring nothing is overlooked, delayed or left until the last minute.
- Maintain complete visibility across all event deliverables and proactively identify risks before they impact timelines.
- Take accountability for the overall success of every event under your ownership.
- Develop detailed event plans covering:
- Event objectives
- Project timelines
- Budget management
- Vendor management
- Registration strategy
- Marketing deliverables
- Event content
- Swag and promotional materials
- Logistics & on-site execution
- Post-event follow-up
- Ensure every deliverable is accurate, complete and production-ready before sharing internally or externally. Implement quality control processes to minimize errors and ensure exceptional attention to detail across every aspect of an event.
- Project Management
- Manage multiple global events simultaneously while balancing competing priorities and deadlines.
- Maintain comprehensive project trackers with clear ownership, milestones and status updates.
- Proactively follow up with stakeholders and vendors to ensure deliverables remain on track.
- Escalate risks early with proposed solutions rather than waiting for issues to arise.
- Demonstrate excellent organizational skills and consistently deliver projects on time.
- Stakeholder & Cross-Functional Management
- Build strong working relationships across Marketing, Sales, Customer Success, Product, Design and external partners.
- Coordinate cross-functional deliverables and ensure every stakeholder understands their responsibilities and deadlines.
- Manage agencies, suppliers, venues and vendors professionally, ensuring clear communication and accountability throughout the project lifecycle.
- Represent Candex professionally in all customer-facing interactions.
- Customer Experience
- Design engaging customer experiences that strengthen relationships and reinforce the Candex brand.
- Own customer communications including invitations, registration, attendee management and post-event follow-up.
- Look for opportunities to continually improve attendee engagement and event experience.
- Adaptability & Continuous Improvement
- Operate effectively in a fast-changing environment where priorities may evolve.
- Remain flexible, solution-oriented and calm under pressure while maintaining high-quality execution.
- Identify opportunities to improve internal event processes, documentation and operational efficiency.
- Take ownership of implementing improvements rather than waiting for direction.
- Post Event Analysis
- Measure event performance against agreed objectives and KPIs.
- Produce detailed post-event reports outlining results, learnings and recommendations.
- Apply insights from previous events to continually improve future programs.
Requirements
- Minimum 5 years' experience in event management, field marketing, customer marketing, experiential marketing or corporate events.
- Proven experience independently managing multiple complex events from planning through execution, with minimal supervision, taking accountability for outcomes.
- Demonstrated success delivering high-quality customer-facing events with exceptional attention to detail, and with a commitment to delivering error-free work.
- Excellent written and verbal communicator who builds strong, trust-based relationships with cross-functional teams, external vendors, agency partners, and executive leadership, through clear, timely and professional communication.
- A resilient, positive team player who thrives under pressure, readily adapts to changing priorities, and supports colleagues while driving their own projects forward.
- A proactive self-starter who thinks several steps ahead to identify needs, anticipate risks, and resolve problems.
- Tech Proficiency: Hands-on experience leveraging modern tools, including MS Office, Google Workspace, CRMs (e.g., Zoho), PM software (e.g., Monday.com), and event platforms (e.g., Cvent, Splash, HubSpot).
