This role is a hands-on production and operations lead for Canva's internal events, reporting to the Global Internal Events Lead within the Vibe team. You will own the end-to-end production of flagship programs like Season Openers and Company Goal Celebrations, manage agencies and vendors, and build the operational systems that make the team more scalable and consistent. You'll also connect global campus teams and cross-functional partners to ensure aligned, high-quality delivery.
Responsibilities
- You'll be the production lead on some of Canva's most important internal moments — Season Openers, Company Goal Celebrations, Droptober, and other Tier 1 activations. That means owning the brief, managing agencies and vendors, holding the timeline and budget, and making the call when things don't go to plan. You're not orchestrating from a distance — you're in it.
- Own the end-to-end production of Tier 1 events — Season Openers, Company Goal Celebrations, Droptober, and major activations — from brief through to delivery and wrap
- Manage agencies, vendors, and external partners: set the brief, hold the quality bar, and ensure what gets delivered reflects the Canva standard
- Hold the full production picture — timelines, budgets, crews, and on-the-ground decisions — with the confidence to make the call when things don't go to plan
- Bring a creative voice to programs, contributing ideas that shape the experience, not just the logistics
- Between programs, you're building the infrastructure that makes the whole team more consistent and less reactive. That means owning our vendor and agency relationships at a team level, maintaining budget visibility across all programs, creating the templates and playbooks that mean we're not starting from scratch every time, and acting as the first point of escalation so the right things get to the right people.
- Maintain and evolve the systems that keep the team running — briefing processes, templates, approval chains, vendor contracts, and ways of working that scale
- Own consolidated budget visibility across all programs, tracking spend, forecasting, and reconciling actuals so there are no surprises
- Build and maintain the knowledge infrastructure of the team — playbooks, documentation, and handover processes that mean expertise doesn't walk out the door when people move on
- Act as the first point of escalation for the execution team, absorbing operational complexity before it reaches the Head of Internal Events
- You'll be the connective tissue between our Sydney-based team and Vibe leads across our global campuses — making sure regional teams are briefed, heard, and set up to deliver programs that feel local without losing the Canva thread. You'll also work closely with Leadership, Ops, Comms, Marketing, Finance and Brand to make sure the right people are aligned on the right things at the right time.

- Work closely with Internal Comms, Marketing, Brand, Ops and Finance to keep cross-functional partners aligned — you're the person who knows what's happening across the program and communicates it clearly
- Build the frameworks and playbooks that make global delivery consistent without being generic, so programs feel locally grounded wherever they land
- Represent the Vibe events team in cross-functional planning conversations, bringing the production and operational perspective to decisions that affect how we work
Requirements
- Significant experience producing large-scale experiential programs from end to end: keynotes, hospitality, travel, activations. You've been the production lead on something big and complex, and you know what that actually means in practice.
- Strong operational instincts: you build systems and processes not because you're told to, but because you understand why they matter. You turn chaos into clarity.
- Budget fluency: you're comfortable owning a significant budget, presenting positions to senior stakeholders, and finding efficiencies without cutting corners.
- A genuine creative voice: you have opinions and taste about what great looks like and you bring them to the table.
- A global lens: you understand that programs land differently in different markets, and you've built or worked within frameworks that account for that. You think beyond your own geography by default.
- Strong stakeholder management: you build trust quickly across very different kinds of people, and you know how to communicate program value in terms that land with each audience.
Nice to have
- A background as a Director of Production, Company Manager, Tour Manager, or equivalent: you know what it means to hold the full weight of a live production.
- Experience working in a Chief of Staff or operational partnering role alongside a senior leader.
- Brand or agency experience in experiential: you understand the difference between producing for a client and producing as the client
- Experience building or contributing to team culture: brings good energy to the work and to the people around them. Knows that how a team feels behind the scenes shows up in the room on the day — and takes that seriously."
- Hands-on experience with AI tooling in an operational context: whether for automating admin, tracking assets, synthesizing feedback, or streamlining workflows. Doesn't need to be deep expertise, but genuine curiosity and some practical experience.
