The role also supports the Events Manager with international workshops and on-site visits on a regular basis. Responsibilities include costing and organizing staff attendance at events, booking flights and hotels via the SAP Concur travel portal, monitoring event budgets, providing administrative support, and assisting with workshop materials and website updates.

Responsibilities

  • Cost and organise staff attendance at business and scientific conferences and meetings, including flights, hotels, taxi/train arrangements, and staff itineraries.
  • Book flights and hotels via the SAP Concur travel portal (full training provided).
  • Help monitor events budgets.
  • Provide administrative support to senior colleagues.
  • Perform general administrative tasks as required.

  • Assist with Workshop and On-Site Education visit arrangements.
  • Chase up and help prepare workshop materials, including PDF versions.

Requirements

  • Candidates should be able to work independently and as part of a team, with a professional and friendly manner. You'll need great attention to detail and the ability to work under pressure, with tight deadlines and regular changes to travel plans — all while treating your colleagues as ‘your client’ and delivering a genuinely excellent service. The role requires close, ongoing liaison with scientists and other staff, so strong interpersonal skills are essential.

  • Strong interpersonal and communication skills, including a high standard of written English
  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Flexible approach to working hours

Nice to have

  • Travel-booking experience is a plus, but not essential — full training will be provided
