The Sales and Events Coordinator is responsible for assisting in booking, selling, planning, and coordinating all events while ensuring exceptional guest service. This role supports the Group Sales Manager, manages group sales leads and databases, and oversees event logistics from proposal to execution. The coordinator also builds client relationships, produces reports, and collaborates with various teams to ensure smooth event operations.
Responsibilities
- Provide exceptional Guest service while maintaining a positive attitude.
- Promote the Players Club loyalty program to Guests.
- Track all group sales leads, sales, and revenue collected along with event inventory.
- Manage and update the group sales database system, as well as group blocks with the hotel division.
- Provide a supportive role for clients by turning their vision into a reality and surpassing their expectations.
- Manage groups each season from initial proposal to close-of-sale, seating, and collection of payment.
- Plan, coordinate, and oversee private receptions and events for group sales.
- Build and maintain Guest relationships leading to repeat business by responding to special requests, complaints, and inquires.
- Look for outlets to introduce organizations to group sales opportunities on CVPS. • Work with the Food and Beverage team to ensure stage settings are in place for meals and entertainment.
- Create Layouts, Seating maps, and decorations while monitoring event timelines to ensure deadlines are met.
- Produce monthly reports and sales forecasts. • Attend trade shows andmajormarket eventsto promote new business and increase sales.
- Serve as a liaison for community events and assist in eventplanningwith the community as necessary.
- Serve as a point of contact for large events andparties and assist Marketing with Bus Program sales.
- Maintain Banquet Event Order (BEO) paperwork for eachbooking.
- Collaborate with the Executive Chef on menu requests.
- Oversee the smooth operation of events by coordinating setup, execution, and breakdown with Team Members and vendors.
- Measure attendance at events and track sales results to evaluate performance and make changes to improve future events.
- Identify operational challenges associated with a group and determine how to best work with the property, Team Members, and Guests to solve these challenges and/or develop alternative solutions.
- Other duties as assigned.
Requirements
- Must be at least 21 years of age.
- High School Diploma (or GED or High School Equivalence Certificate).
- 1+ years of sales and/or party planning experience.
- Proficient in Windows and Microsoft Office Suite.
Nice to have
- Associate degree in Business, Management, or a related field. • 2+ years of sales and/or party planning experience.
