As a Global Executive Events Manager at Databricks, you will plan and execute high-profile events for top executives, collaborating with sales and field marketing teams to drive audience acquisition and align with business goals. You will own the full event production lifecycle, from venue sourcing and logistics to vendor management and budget oversight, while building scalable processes and leveraging data and AI tools to improve operational efficiency. This role is pivotal in delivering memorable, high-touch experiences that support the company's growth and innovation.
Responsibilities
- Successful Event Execution: Collaborate on multiple projects with seamless operations, clear communication, and extreme attention to detail that results in maintaining high standards for our events.
- Sales & Field Enablement: Partner with sales and field marketing teams on audience acquisition, ensuring attendee lists align with account priorities and broader go-to-market strategy.
- End-to-End Event Production: Own the full production lifecycle — from venue sourcing and run-of-show development to on-site logistics, AV/staging coordination, and post-event wrap-up — ensuring flawless execution for executive-level audiences.
- Vendor Management: Source, negotiate, and manage relationships with venues, caterers, AV/production companies, and other event vendors, holding vendors accountable to contracts, timelines, and quality standards.
- Budget Ownership: Build and manage event budgets, track spend against forecast, identify cost-saving opportunities, and provide accurate reporting on budget performance to stakeholders.
- Drive operational excellence: Building and refining event processes, documentation, and reporting frameworks to improve efficiency, visibility, and scalability across the program.
- Data & AI Curiosity: Bring an analytical mindset and genuine curiosity for AI and emerging tools — using data to inform event strategy and exploring new technologies to continuously improve how the program operates.
- Strong Cross-Functional Collaboration: Foster and sustain trusted partnerships with both internal and external stakeholders.
- Scalable Processes: Maintain structured event planning frameworks that ensure consistent execution, scalable operations, and execution of the highest standards.
Requirements
- Experience: 5-7+ years in corporate events, field marketing, or executive event management, with a proven track record of delivering high-impact, high-profile events.
- Technical Proficiency: Strong knowledge of Google Suite (Docs, Sheets, Slides, Mail), Microsoft Excel (complex spreadsheets), Salesforce, and Asana. Knowledge of Swoogo and RainFocus is a plus. Comfort leveraging AI tools to streamline event workflows, automate reporting, and improve operational efficiency is highly valued.
- Project Management Excellence: Ability to multitask, prioritize competing deadlines, and stay organized in a fast-moving environment.
- Customer-Centric Mindset: Outstanding relationship management skills and a commitment to delivering world-class experiences to both internal and external stakeholders.
- Data-Driven Approach: Ability to assess event success using key metrics and make data-informed decisions for continuous improvement.
- Vendor Negotiation: Proven experience negotiating contracts and rates with venues, vendors, and production partners to maximize value while maintaining event quality.
- Budget Management: Demonstrated experience managing event budgets, including forecasting, reconciliation, and variance reporting.
- On-Site Production Skills: Hands-on experience managing live event production — staging, AV, F&B, signage, and logistics — in a fast-paced, high-visibility environment.
- Travel: Some travel may be required for on-site event support, when appropriate.
