The Event Coordinator supports internal and external customers by coordinating events, working with sales, hotel operations, and third-party food and beverage outlets to ensure high-level service throughout pre-event, event, and post-event phases. Duties include tracking event revenue, finalizing and distributing Banquet Event Orders, communicating event details across departments, and assisting with promotional mailings and file maintenance.
Responsibilities
- Assist in tracking Events revenue.
- Finalize and distribute Banquet Event Orders (BEOs) for all events within the 10-day forecast to internal departments. (Group Billing)
- Distribute Daily Events reports to ensure effective communication across departments.
- Answer phones and route Events sales inquiries to the appropriate Sales Manager.
- Create and communicate event resumes for small group bookings.
- Ensure that reader boards are updated daily with current event space information.
- Maintaining the Group Transportation Log and communicating with carrier
- Processing Marriott Bonvoy Points and eBonus Points
- Producing breakfast and dinner vouchers as well as menu cards
- Assist the Events team with promotional mailings, file maintenance, and organizing sales materials.
- Follow up on special banquet event arrangements from Director, to ensure compliance.
- Maintains regular attendance, is consistently on time and observes prescribed work, break and meal periods in compliance with standards
- Maintains high standards of personal appearance and grooming, which include compliance with the dress code
- Performs any other duties as requested by supervisor.
Requirements
- Experience with Marriott FSPMS is required
- Additional experience with CI/TY is required
- Must be detail oriented with a focus on accuracy, timeliness and thoroughness
- Ability to read and comprehend simple instructions, short correspondence, and memos.
- Ability to write simple correspondence.
- Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
- Ability to interpret and perform basic math functions.
- Must be able to work with and understand financial information and data.
- Computer knowledge required.
- Excellent knowledge of MS Office programs required.
Nice to have
- Strong knowledge of Microsoft Excel is preferred.
- A high school diploma or general education degree (GED); and/or experience in a hotel or a related field preferred.
- At least 2 to 3 years of progressive experience in a hotel or related field preferred.
- College course work in a related field helpful.
