This is a co-op position for a Global Events Coordinator at D2L, a cloud company modernizing education. The role involves supporting the global events team with event coordination, logistics, communications, data management, and vendor research for key events in the FY26 calendar. The coordinator will assist with event planning, execution, and post-event follow-up, as well as contribute to copywriting and competitive research. The position is based in Kitchener, Ontario, and requires working in-person from a D2L office.

Responsibilities

  • Support and assist team with event and project coordination, administrative, and logistic duties for key events in FY26 calendar (sponsored & proprietary), data management, reporting, and enablement.
  • Coordination and follow-up of cross-functional (internal and external) project tasks and actions
  • Event support would include things like managing the Fusion and D2LExperience email inboxes, event briefs, coordination of POs, invoices, contracts, event data/lists, presenter prep and travel support, event system admin support, reporting and KPI tracking, assisting with planning/set-up logistics for events activities, review, maintenance, and testing event tools and platforms and related event tech, day-of event coordination and support, and post-event follow-up, etc.
  • Aid cross-functional event communications and global event calendar upkeep and cross-functional alignment
  • Maintain event schedule and event communications schedule and event performance tracking
  • Coordinate updates/changes and related communications with cross-functional communications leads
  • Help to provide awareness and alignment of events and related activities with other internal/external stakeholders
  • Post-event survey review and reporting
  • Reporting and tracking of key event KPIs, management and upkeep of event reporting data/dashboards
  • Lead scan list scrubbing and reconciliation and coordination of uploads with appropriate teams
  • Coordination and follow-up on learnings, highlights, post-event content, reconciliations, etc.
  • Coordination and tracking support for key event invoices, contracts, and spend information
  • Assist in in-person event venue sourcing and research for Fusion venue RFP, proprietary events, and VIP reception event locations
  • Research unique swag, event in a box, and booth/exhibit vendors options and solutions based on goals provided
  • Research and connect with client-facing teams and SMEs to source speakers and presentations for events
  • Research event app/marketing tech event solutions based on goals provided
  • Once vendors/venues/tech/speakers identified, create a grid comparing the specific offerings and make recommendations on which would suggest proceeding with
  • Coordinate sourcing and inventory monitoring of swag/giveaways/assets as needed to support our self-service event asset portal and various events.
  • Event promotion and follow-up, enablement asset creation support and task and vendor coordination
  • Copywriting support and coordination of content needed for website pages, email campaigns, social and other digital event promotion, enablement toolkits, and other internal and external event and/or communications and digital assets
  • Coordinate proper proofread and reviews of communication/copywriting
  • Coordinate the creation, updating, and deployment of information updates, graphics, and supporting digital and print assets with appropriate internal groups and external vendors
  • Visit the websites of key competitors and top events and customer marketing touchpoints and experiences both in and outside of our industry
  • Take specific actions including visiting landing pages, registering and attending virtual events, requesting additional information, assets, etc. (specifics to be provided)
  • Capture communications and advertising presented, what experiences they are providing to their customers, how their web pages and events are structured, what tools they are using, assets they provide, how they continue engagement throughout customer journey, awards and reviews they’ve received, etc.

Requirements

  • Currently enrolled in a post-secondary program, and will not graduate prior to this co-op role (preference for students enrolled in an official co-op program)
  • Able to work 40 hours per week
  • Able to work in-person from a D2L office (office location dependent on role)
  • Star student enrolled in marketing, communications, event management, or project management program with the following competencies:
  • Advanced communication, collaboration, and interpersonal skills
  • Excellent communication writing and/or copywriting skills
  • Exceptional organizational skills including multi-tasking and time management
  • High attention to detail
  • Ability to learn quickly, think fast under pressure, and work independently in fast-paced environment
  • Proficiency with MS Excel and comfortable with learning new systems quickly
  • Creative mindset and stamina to try new things and figure out how to continuously improve

Nice to have

  • Experience with planning or coordinating cross-functional events, cross-functional projects, and/or communication writing would be an asset
  • Familiarity and interest in AI tools (e.g. ChatGBT, Copilot, etc.)
