The Events Coordinator supports the Director of Conference Services in planning and executing year-round events on campus. This role coordinates internal and external event logistics and assists with preparations for small-scale and large-scale campus events. The Events Coordinator ensures smooth operations by communicating with all internal Daemen offices before and during their reservation, providing exceptional customer service, and maintaining close attention to detail. Success in this role depends on strong relationship-building, organization, and teamwork.

Responsibilities

  • Manage the planning of all aspects of day-to-day internal events hosted through Daemen University offices and areas.
  • Maintain the Reserving Facilities Form for reservation requests and inquiries.
  • Build strong working relationships across campus departments (e.g., Academics, Admissions, Alumni, CTE, Facilities, Dining, Housing).
  • Provide exceptional customer service and maintain attention to detail in all tasks.
  • Perform other duties as assigned

Requirements

  • Excellent communication skills - both verbal and written, for working with clients, campus partners, and staff.
  • Strong organizational skills - ability to manage multiple events, tasks, and deadlines simultaneously.
  • Attention to detail - ensuring all event logistics are executed smoothly and thoroughly.
  • Commitment to providing a positive, professional experience for all guests and clients.
  • Team collaboration - builds effective relationships across departments and works well in group settings.
  • Problem-solving skills - able to respond quickly and effectively to unexpected changes or needs during events.
  • Marketing and social media familiarity - supports promotion of events and outreach efforts.
  • Technology proficiency - comfortable using Google Suite, Excel, Word, Canva and event scheduling tools.
  • Flexibility and adaptability - can shift priorities and stay calm under pressure in a fast-paced environment.
  • Associate's degree preferred; Bachelor's degree required.
  • Minimum of 3 years of customer service experience, with at least 1 year of relevant experience in hospitality and/or event planning.
