The Events Coordinator supports the planning and execution of internal company meetings, training courses, and events. Responsibilities include coordinating logistics such as venues, catering, travel, and technology, managing vendor relationships, tracking budgets, and providing on-site support. The role also involves collaborating with team members and stakeholders to ensure events run smoothly and supporting special projects for the Marketing & Communications department.
Responsibilities
- Internal Meeting & Event Planning: Coordinate internal meetings, training courses and events from planning through execution, including timelines, setup, catering, materials, presentations and technology.
- Attendee & Travel Coordination: Coordinate attendee logistics, including hotels, flights, transportation, shuttle schedules and calendar invitations.
- Team & Stakeholder Coordination: Work with Team Members and Leaders to gather event needs, communicate updates and keep deliverables on track.
- Event Administration: Manage event requests, plans, records and action items, while helping improve processes and resources.
- Vendor Management: Coordinate with hotels, transportation providers, caterers and other external Partners to confirm services and event needs.
- Budget & Expenses: Track event budgets and expenses, process invoices and credit card coding, and reconcile charges.
- On-Site Support: Support meeting and event setup, presentations, audiovisual needs, basic troubleshooting and attendees.
- Special Projects: Support the Marketing & Communications Department and company with special projects related to events, brand and marketing.
Requirements
- 2 to 3 years of experience coordinating meetings, events and related logistics
- Highly organized and detail-oriented with strong follow-through
- Able to manage multiple priorities and deadlines
- Proactive and able to anticipate needs and solve problems
- Strong written and verbal communication skills
- Comfortable working independently and as part of a Team
- Proficient in Microsoft Office including Word, Excel and PowerPoint
- Comfortable with meeting technology and basic troubleshooting
- Flexible to work occasional early mornings or evenings for events
- College degree or equivalent relevant experience
