The MarCom & Events Associate will be responsible for the end-to-end operation of Endeavor Saudi's community events, from intimate roundtables to large-scale summits. This role involves planning and executing the full event calendar, managing venues, vendors, budgets, and on-ground logistics, and ensuring high-value experiences for entrepreneurs, mentors, investors, and partners. The associate will also contribute to the creative vision of events and conduct post-event evaluations to drive continuous improvement.
Responsibilities
- Support the planning and execution of Endeavor Saudi's full event calendar; including global events, entrepreneur retreats, ecosystem events, networking dinners, workshops, and gatherings.
- Conduct venue research, site visits, and selection, evaluating locations based on objectives, capacity, accessibility, aesthetics, and budget while adhering to high strategic standards.
- Manage event actual vs. budgets with manager oversight, tracking expenses, processing invoices, and ensuring cost-effective delivery.
- Establish event pages and registration systems.
- Develop detailed event run-of-shows, timelines, and checklists ensuring all logistical elements are coordinated and executed on schedule.
- Source, evaluate, and manage relationships with event vendors including venues, caterers, AV technicians, decorators, photographers, and logistics providers.
- Negotiate contracts and pricing to secure optimal value while maintaining quality standards.
- Build and maintain a preferred vendor database with performance ratings for future reference.
- Serve as the on-ground operations lead during events, managing setup, supervising vendor teams, coordinating staff, and troubleshooting issues in real time.
- Oversee guest registration, hospitality, and experience flow, ensuring attendees have a seamless, memorable experience from arrival to departure.
- Coordinate with the communications team for live coverage, photography, and content capture during events.
- Contribute to the creative vision for events, proposing themes, décor concepts, and experiential elements that align with Endeavor's brand.
- Select and curate aesthetic elements (florals, lighting, table settings, signage) that elevate the guest experience.
- Conduct post-event evaluations including attendee feedback, budget reconciliation, and performance analysis.
- Prepare event reports documenting outcomes, learnings, and recommendations for future improvements.
- Log and capture all data related to each event on Salesforce.
- Coordinate logistics pre, during, and post-event, in partnership with Account Managers and cross-functional teams.
Requirements
- 0–2 years of relevant experience in event coordination, hospitality, or related fields (internships, volunteer roles, university event planning, or hospitality experience count).
- Solid understanding of event planning fundamentals — logistics, timelines, vendor coordination, and on-site management.
- Experience or strong aptitude for sourcing vendors, negotiating terms, and managing supplier relationships.
- Strong eye for visual composition, ambiance, and experience design; ability to curate environments that impress and inspire.
- Comfortable directing external teams and managing guest flow; remains calm and effective under pressure.
- Basic proficiency in project management tools, spreadsheets, and Notion (or similar).
- Experience and curiosity in using AI tools such as ChatGPT, Claude, and Gemini for daily tasks and automations.
- Capacity to learn from each cycle and transform learning into process: whoever occupies this role improves the standard with every edition, not just repeats what worked.
- Capacity to communicate with different audiences: a large part of the work depends on other areas, and ensuring everyone is aligned and on time is a skill, not a task. Ability to communicate with diverse external stakeholder profiles.
- Capacity for risk analysis: anticipating what can go wrong, exercising caution, and resolving in advance.
- Genuine enthusiasm for creating experiences; energized by the energy of live events.
- Takes full responsibility for assigned events and deliverables; follows through on every commitment.
Nice to have
- Experience with events where the quality standard is non-negotiable, where details make the difference.
- Understanding and experience with communities, networks, or ecosystems, including digital, where understanding how what happens in-person feeds engagement between events.
- Intermediate or advanced English (the Endeavor network is global and some events include international presence).
- Bachelor's degree in Event Management, Hospitality, Marketing, Communications, or related field.
