As a Project Coordinator, you will support the planning and delivery of virtual, in-person, and hybrid events for high-touch clients. You will help coordinate event logistics, budget tracking, registration, transportation, food and beverage, and onsite staffing while contributing creative solutions and exceptional service. This is an excellent opportunity for an entry-level event planner to build corporate event experience alongside a dynamic team of event professionals. Domestic travel is required.
Responsibilities
- Support the planning and execution of virtual, in-person, and hybrid events.
- Coordinate events from creative concept and initial briefing through delivery and reconciliation.
- Assist with budget management, site selection, hotel and venue coordination, registration, transportation, food and beverage, décor, staffing, name badges, materials, and shipping.
- Support event management teams with onsite execution.
- Keep team members and internal stakeholders informed of relevant logistical details through timely, effective communications.
- Help ensure events adhere to client operating standards.
- Maintain accurate and timely event budgets, invoices, and reconciliations.
- Share best practices and insights regarding suppliers, services, and venues.
- Proactively contribute ideas and creative solutions that enhance each event.
Requirements
- Bachelor’s degree preferred.
- 1–2 years of experience, including entry-level venue sourcing, meeting planning, and team support.
- Proficiency in Microsoft Office applications, including PowerPoint and Excel.
- Ability to build and maintain positive relationships with colleagues, clients, vendors, and suppliers.
- Resourceful, creative problem-solving skills and a collaborative, team-oriented approach.
- Strong organizational and time-management skills, with the ability to manage multiple projects, prioritize demanding workloads, meet strict deadlines, and maintain close attention to detail.
- A calm, proactive, ambitious, and flexible approach to changing priorities and high-pressure situations.
- Ability to collaborate effectively with colleagues at all levels while also working independently.
- Strong communication skills and an empathetic approach when working with teams and clients.
- Willingness to travel 10–20% as required.
