The Private Events Manager promotes, manages, and sells venue space at the Fort Worth Botanic Garden to clients seeking a unique setting for meetings, events, and public exhibitions. Working with clients from initial inquiry through event execution, the role facilitates the booking process, negotiates contracts, secures payments, and coordinates vendors and logistics. The position ensures high customer satisfaction and smooth event operations while maximizing use of the Garden's venue space to generate revenue in support of FWBG's mission. The manager reports to the Director of Private Events on event progress, challenges, and annual sales targets, and collaborates with other teams to integrate sales goals into organizational strategy.

Responsibilities

  • Maintaining client files, contract details, and event plans.
  • Performing client tours, negotiating event contracts, and securing payments.
  • Assisting with event logistics, including vendor coordination and setup.
  • Ensuring excellent service delivery and customer satisfaction for both internal and external clients.
  • Performing strategic planning and executing objectives to meet annual sales targets.
  • Managing communication with clients, event planners, and third-party vendors.
  • Participating in the preparation and execution of public events hosted by FWBG.
  • Training volunteers and internal staff on event protocols and client interaction.
  • Facilitating internal event planning meetings and ensuring all details are executed as agreed.
  • Reporting to the Director of Private Events regarding event progress and challenges and annual sales targets.
  • Communicating effectively with clients to ensure needs are met before, during, and after events.
  • Collaborating with other teams to integrate sales goals into organizational strategy and development.

Requirements

  • Experience with customer service and sales, particularly in event or venue management.
  • Knowledge of event planning, vendor management, and contract negotiation.
  • Familiarity with the operational characteristics of public event spaces.
  • Proficiency using Microsoft Office Suite, particularly Excel, and event management software.
  • Organized and efficient in managing multiple tasks and deadlines.
  • Ability to analyze client needs and provide tailored solutions.
  • Understanding of venue capacity, safety regulations, and event policies.
  • Training in event logistics, customer relations, and marketing techniques.
  • Successfully pass a background and credit check due to the handling of financial transactions and confidential information.
  • Maintain a current Texas Driver's License and auto-related liability insurance.
  • Review and sign the department dress code policy.
  • Be adaptable and flexible to changing schedules, including some weekends and evenings.
  • Ability to support and participate in FWBG public exhibitions and events.
