The Conference Services Manager is responsible for planning, coordinating, and executing group meetings, conferences, social events, and corporate functions from contract handover through successful event completion. Serving as the primary liaison between clients and hotel operations, this role ensures every event is delivered with exceptional attention to detail and seamless coordination. Working closely with Sales, Banquets, Culinary, and other departments, the manager maximizes guest satisfaction, drives event revenue, and ensures flawless execution while maintaining the highest standards of hospitality excellence.

Responsibilities

  • Manage all aspects of conference and event planning for contracted groups, from initial handover through post-event follow-up.
  • Act as the primary point of contact for meeting planners, corporate clients, and event organizers throughout the planning and execution process.
  • Coordinate event logistics including meeting room setups, banquet requirements, audiovisual arrangements, guest accommodations, transportation, and special requests.
  • Prepare and maintain accurate Banquet Event Orders (BEOs), event resumes, rooming lists, daily reports, and other event documentation.
  • Lead pre-convention meetings, planning sessions, site inspections, menu tastings, and operational briefings with clients and hotel departments.
  • Partner with Sales and Revenue teams to optimize function space utilization and identify opportunities for upselling catering, accommodations, and additional hotel services.
  • Monitor event execution on-site, proactively resolving operational challenges while ensuring exceptional guest experiences.
  • Collaborate with Banquets, Culinary, Engineering, Housekeeping, Security, Front Office, and other departments to ensure seamless service delivery.
  • Review banquet checks, event billing, and client invoices for accuracy prior to final settlement.
  • Maintain regular communication with clients before, during, and after events to ensure expectations are met and opportunities for repeat business are identified.
  • Ensure compliance with Four Seasons brand standards, hotel policies, health and safety regulations, and service excellence guidelines.
  • Support forecasting, event reporting, and departmental administrative functions as required.
  • Build strong relationships with preferred vendors and external partners, including audiovisual providers, florists, entertainment, transportation companies, and destination management companies.
  • Contribute ideas to enhance meeting experiences, improve operational efficiencies, and increase guest satisfaction.

Requirements

  • Bachelor's degree in Hospitality Management, Business Administration, Event Management, or a related discipline preferred.
  • Minimum of 3–5 years of experience in conference services, catering, event management, or hotel operations within a luxury hotel environment.
  • Strong knowledge of hotel banquet operations, conference planning, food and beverage service, and meeting logistics.
  • Excellent organizational skills with the ability to manage multiple events simultaneously while maintaining exceptional attention to detail.
  • Strong interpersonal, negotiation, and relationship-building skills with a guest-centric approach.
  • Proficiency in hotel property management and event management systems (e.g., Delphi, Opera, or similar platforms) and Microsoft Office applications.
  • Proven ability to remain calm under pressure, solve problems proactively, and make sound operational decisions.
  • Demonstrates professionalism, integrity, teamwork, and a commitment to delivering personalized luxury service consistent with Four Seasons' culture and the Golden Rule.
  • Flexible to work evenings, weekends, and public holidays based on business and event requirements.
  • Excellent verbal and written communication skills in English; proficiency in additional languages is an advantage.
  • Must be able to speak, read, and write Bahasa Malaysia.
  • Must have the right to work in Malaysia.
