The Building and Events Manager is responsible for the daily operation, maintenance, safety, and presentation of council facilities while coordinating and supporting facility-based events. This role ensures that buildings, grounds, equipment, and event spaces are well maintained, safe, operationally efficient, and welcoming for staff, volunteers, members, donors, and community partners. Responsibilities combine facilities management, vendor oversight, event logistics, contract administration, safety compliance, and customer service.

Responsibilities

  • Oversee day-to-day operations of council offices, meeting spaces, and designated properties.
  • Coordinate preventive maintenance, inspections, and repairs for building systems, including HVAC, electrical, plumbing, security, and life-safety systems.
  • Conduct regular facility inspections and identify maintenance, safety, or operational concerns.
  • Manage vendor relationships and service contracts, including custodial, landscaping, security, pest control, and maintenance providers.
  • Maintain facility records, warranties, inspection reports, permits, and compliance documentation.
  • Support budget planning and expense tracking for facility operations and maintenance.
  • Ensure compliance with local, state, and organizational safety requirements.
  • Coordinate facility scheduling and event logistics for council meetings, donor functions, training events, community activities, and external rentals.
  • Oversee event setup and breakdown, including tables, chairs, signage, audiovisual equipment, and room configurations.
  • Coordinate event vendors, caterers, contractors, and support staff.
  • Ensure event spaces are clean, organized, and presentation-ready.
  • Troubleshoot facility and event-related issues during events and provide on-site operational support.
  • Manage event inventories and equipment storage.
  • Maintain emergency preparedness plans and coordinate safety drills.
  • Ensure fire extinguishers, alarms, emergency exits, and safety equipment remain compliant and functional.
  • Investigate and document safety incidents and facility concerns.
  • Coordinate corrective actions and follow-up inspections when needed.
  • Supervise contractors, seasonal staff, and volunteers supporting facilities and events.
  • Provide direction during event setup, operations, and teardown.
  • Promote excellent customer service for internal and external guests.

Requirements

  • Minimum 3 to 5 years of experience in facilities management, building operations, property management, event operations, or a related field.
  • Working knowledge of building systems, preventive maintenance practices, vendor management, and facility safety standards.
  • Strong organizational, communication, customer service, and problem-solving skills.
  • Ability to manage multiple priorities and respond effectively to urgent facility or event needs.
  • Proficiency with Microsoft 365 and facility scheduling systems.
  • Valid driver's license and ability to travel between council properties.

Nice to have

  • Associate or bachelor's degree in Facilities Management, Property Management, Hospitality, Event Management, Business Administration, or related field preferred.
  • CPR and First Aid certification preferred.
