The Assistant Events Sales Manager supports the Events Sales Manager in generating, selling, planning, and executing private and club-sponsored events. This role serves as the primary point of contact for small to medium-sized events, ensuring exceptional guest experiences through accurate planning, clear communication, and seamless coordination with internal departments. The position plays a key role in revenue generation, event execution, and maintaining high service standards while preparing for advancement into a senior events leadership role.
Responsibilities
- Proactively sell, book, and manage small to medium-sized private events including social functions, meetings, celebrations, and select member events.
- Respond promptly and professionally to assigned event inquiries.
- Conduct site tours and client consultations to convert leads into confirmed business.
- Prepare event proposals, contracts, and Banquet Event Orders (BEOs) in accordance with club standards.
- Work with the Executive Chef to coordinate menus and event details within established pricing guidelines.
- Manage assigned non-member deposits, contracts, and income documentation.
- Identify opportunities to upsell menu enhancements, décor, entertainment, audio/visual, and specialty services.
- Support overall department sales goals and revenue targets.
- Serve as the primary liaison for assigned events from contract signing through event completion.
- Manage event logistics including timelines, room diagrams, banquet item placement, and function details.
- Make updates to function sheets and communicate changes clearly to all departments involved.
- Confirm all assigned functions no later than fourteen (14) days prior to the event date.
- Lead pre-event meetings for assigned events and ensure accurate communication with stakeholders.
- Inspect room setups prior to events to ensure proper arrangements, cleanliness, and readiness.
- Be present during assigned events to oversee service flow, guest satisfaction, and execution standards.
- Assist with holiday events, large member functions, and weddings as directed by the Events Sales Manager.
- Escalate complex client issues or service recovery needs to the Events Sales Manager as appropriate.
- Build and maintain positive relationships with members, clients, vendors, and internal partners.
- Deliver a high level of professionalism and hospitality throughout the planning and execution process.
- Address client concerns promptly and effectively within assigned authority.
- Conduct post-event follow-ups to ensure satisfaction and encourage repeat business.
- Maintain accurate records for all assigned events including contracts, BEOs, deposits, and billing.
- Prepare and process billing for assigned member and non-member events according to guarantees or actual attendance, whichever is greater.
- Coordinate billing details with the Events Coordinator and Accounting Department.
- Ensure compliance with club policies, pricing structures, and cancellation terms.
- Assist with sales reports, forecasts, and activity summaries as requested.
- Follow up on assigned events with appropriate correspondence and documentation.
- Work collaboratively with the Events Sales Manager, Events Coordinator, Culinary, Banquets, and Food & Beverage teams to ensure flawless execution.
- Provide support and coverage during peak periods, holidays, and large-scale events.
- Participate in ongoing training and professional development to strengthen sales, planning, and leadership skills.
- Support departmental initiatives, calendars, and event programming efforts.
- Perform other duties as assigned by management.
Requirements
- Minimum of 2–4 years of experience in event sales, event planning, hospitality, or a related field.
- Strong organizational, time management, and attention-to-detail skills.
- Excellent written and verbal communication skills.
- Proficiency with event management software, NorthStar, and Microsoft Office.
- Ability to manage multiple events simultaneously in a fast-paced environment.
- Ability to work evenings, weekends, and holidays as required by event schedules.
