As the Events Manager at Higgsfield AI, you will build and scale the events function from the ground up, creating playbooks, processes, and standards for how the company approaches events. You will manage both external brand experiences (conferences, trade shows, executive dinners) and internal employee events (offsites, team gatherings), owning everything from concept and budget to logistics and onsite execution. Reporting to the Head of PR, you will partner closely with Marketing, Sales, Partnerships, People, and executive leadership to ensure events drive business objectives and strengthen company culture.
Responsibilities
- Create and own Higgsfield’s event playbook, establishing repeatable standards and processes for planning, budgeting, approvals, vendors, logistics, communications, onsite execution, and post-event measurement.
- Build the annual events calendar and framework for determining which events Higgsfield should attend, sponsor, host, or skip.
- Create scalable templates, checklists, timelines, vendor databases, budgets, and operating processes from the ground up.
- Establish clear success metrics and post-event retrospectives to continuously improve how we operate.
- Identify gaps, solve problems proactively, and build infrastructure before it is needed.
- Approach the role with an operator mindset: move quickly, create structure from ambiguity, and continuously find ways to make the events function more efficient and scalable.
- Own Higgsfield’s presence at major industry conferences, trade shows, customer events, executive dinners, activations, and partner events.
- Develop experiences that reflect Higgsfield’s brand and position across AI, technology, advertising, and creative industries.
- Manage end-to-end event production, including venues, vendors, catering, AV, signage, branding, guest lists, travel, staffing, and onsite execution.
- Partner with Sales, Partnerships, and Marketing to connect events to clear business objectives, including pipeline generation, customer engagement, partnerships, and brand awareness.
- Coordinate executive participation, speaking engagements, VIP experiences, and customer meetings around key events.
- Measure attendance, engagement, leads, pipeline influence, and overall ROI.
- Plan and execute company offsites, leadership gatherings, team events, celebrations, and other internal experiences.
- Partner with People and leadership to build events that strengthen connection and culture across a fast-growing global organization.
- Manage logistics for events involving employees traveling across multiple countries and time zones.
- Build repeatable formats and processes that allow internal events to scale alongside the company.
- Own event budgets, forecasts, contracts, and vendor relationships.
- Negotiate with venues, agencies, production partners, and other vendors to maximize quality and value.
- Manage multiple events and workstreams simultaneously while maintaining exceptional attention to detail.
- Be willing to travel and work outside traditional hours when required for events.
- Jump into whatever needs to get done—you should be equally comfortable developing an events strategy, negotiating a contract, building a spreadsheet, or troubleshooting an onsite issue.
Requirements
- 5+ years of experience in events, experiential marketing, field marketing, or a related role, ideally within a high-growth technology company.
- Experience building or scaling an events program, not only executing within an established one.
- Experience owning both external/customer-facing events and internal company events.
- Proven ability to independently take complex events from an idea through execution.
- Strong operator with a bias toward action and a track record of creating structure from ambiguity.
- Exceptional project management and organizational skills with strong attention to detail.
- Experience managing meaningful event budgets and negotiating with vendors.
- Strong judgment and ability to operate effectively in a fast-moving environment where priorities can change quickly.
- Excellent communication skills and confidence working directly with executives and cross-functional leaders.
- Comfortable being both strategic and highly tactical.
- Willingness to travel domestically and internationally as needed.
