Seaport Hotel is seeking a Conference Services Manager to serve as the key liaison between clients and hotel operations. In this role, you will manage group events from contract through execution, ensuring every detail is delivered flawlessly while maximizing revenue opportunities and guest satisfaction. You will coordinate across departments, conduct site tours, negotiate contracts, and oversee on-site event execution. This is a highly visible role in a fast-paced hospitality environment, contributing to team strategies and goals.
Responsibilities
- Serve as the primary contact for group and event clients, managing all planning and execution details
- Translate client needs into detailed event plans, including room blocks, meeting space, food & beverage, and logistics
- Prepare and manage event documentation (BEOs, resumes, menus, and programs)
- Coordinate across departments to ensure seamless event execution and exceptional service delivery
- Conduct site tours and client tastings to showcase the property
- Negotiate changes to group contracts while protecting hotel revenue and profitability
- Identify opportunities to upsell and maximize revenue for each event
- Oversee event execution on-site, ensuring a high-quality guest experience
- Review final billing for accuracy and alignment with contract terms
- Participate in sales meetings and contribute to team strategies and goals
Requirements
- 3+ years of experience in event or conference services (hospitality preferred)
- Strong knowledge of hotel operations and group/event management
- Excellent communication, organization, and problem-solving skills
- Proven ability to manage multiple events in a fast-paced environment
- Experience with Amadeus (or similar event systems) and Microsoft Office
Nice to have
- Prior leadership or supervisory experience a plus
- CMP certification preferred
- Experience in an urban hotel setting (Boston experience strongly preferred)
