This role leads the end-to-end planning and execution of events for iCapital's distribution partnership with a large wealth management client across North America and EMEA. The manager will handle logistics, project management, budgets, and stakeholder coordination, ensuring alignment with business goals. They will support both in-person and virtual events, build scalable processes, and track performance to enhance attendee experience.
Responsibilities
- Lead the end-to-end planning and execution of conferences, educational roadshows, webinars, workshops, and sponsorship activations ensuring alignment with the Client, third party GPs and iCapital’s goals.
- Manage all aspects of event logistics, including venue sourcing, contract negotiations, registration, attendee management, catering, audiovisual production, transportation, event materials, and onsite operations.
- Develop and maintain detailed project plans, timelines, budgets, and event calendars to ensure flawless execution and accountability.
- Coordinate speaker logistics, presentation collection, rehearsals, and onsite support to ensure a seamless event experience.
- Support both in-person and virtual events while maintaining consistent and high-quality attendee experience.
- Partner closely with Alternative Investment Specialists, Sales, Marketing, General Partners, and client stakeholders to deliver impactful advisor-facing educational programs.
- Serve as the primary liaison between iCapital, wealth management partners, asset managers, agencies, vendors, and venues.
- Build strong working relationships across internal and external stakeholder groups to drive alignment and successful execution.
- Support the development of educational agendas and event experiences that align with business objectives and audience needs.
- Manage event budgets, contracts, compliance approvals, vendor onboarding, invoice processing, and event reconciliation.
- Utilize Cvent, Monday.com, and other event technology platforms to manage registration, communications, project tracking, and reporting.
- Build scalable processes, playbooks, and best practices to improve efficiency and consistency across programs.
- Identify opportunities to enhance the attendee experience and improve operational excellence across all events.
- Track event performance, attendee engagement, and program effectiveness.
- Deliver post-event reporting and recommendations to enhance future programs.
- Monitor event success against established goals, budgets, and stakeholder expectations.
- Evaluate processes and identify opportunities for improvement consistently.
Requirements
- 6–12+ years of experience in event management, conference planning, field marketing, experiential marketing, or related disciplines
- Basic to intermediate knowledge of alternative investments, wealth management, asset management, or financial services is preferred
- Strong project management skills with the ability to manage multiple priorities across various stakeholders, time zones, and deadlines
- Experience managing event budgets, contracts, vendor relationships, and complex logistics
- Proficiency with Cvent, Monday.com, Microsoft Office, and virtual event platforms
- Excellent communication and interpersonal skills with the ability to engage effectively at all levels, from senior executives to external vendors
- Strategic thinker with a strong execution mindset and attention to detail
- Willingness to travel domestically and internationally and work across time zones as needed

Benefits
- The base salary range for this role is $115,000 to $165,000. iCapital offers a compensation package which includes salary, equity for all full-time employees, and an annual performance bonus.
