The Event Manager is responsible for planning and delivering a large-scale international trade show from initial preparation through onsite execution. The role coordinates timelines, venues, suppliers, contractors and external partners, while working closely with internal teams across Operations, Sales and Marketing. It involves maintaining project plans and documentation in tools such as Asana, identifying delivery risks early and supporting communication across multiple event areas. The position also plays an active onsite role during the event and contributes to continuous improvement of event planning processes.
Responsibilities
- Manage event planning and delivery from initial preparation through to onsite execution, ensuring timelines and deliverables remain on track.
- Use Asana and other planning tools to maintain clear project plans, ownership, deadlines, and status updates.
- Coordinate with venues, suppliers, contractors, and external partners to ensure smooth and timely delivery.
- Work closely with internal teams across Operations, Sales and Marketing.
- Identify potential delivery risks early and work proactively with relevant stakeholders to resolve issues.
- Maintain accurate project documentation, schedules, and operational updates throughout the planning cycle.
- Support effective communication and coordination across multiple event areas and stakeholders.
- Play an active role in onsite event delivery, responding effectively to changing operational requirements.
- Contribute to continuous improvements in event planning processes and ways of working.
Requirements
- 3+ years’ experience in event management, ideally within exhibitions, trade shows, conferences, or large-scale B2B events.
- Completed studies in event management, hospitality, exhibitions or a related field – or equivalent practical experience in a comparable role.
- Strong project management skills, with experience coordinating multiple workstreams, deadlines, suppliers, and stakeholders simultaneously.
- Confident user of Asana or a comparable project management tool, with a structured approach to tracking actions, timelines, and dependencies.
- Strong organizational and communication skills, with the ability to remain calm and solution-focused in a fast-paced event environment.
- Comfortable collaborating with cross-functional teams across multiple locations.
- Strong communication skills in English and Spanish; Catalan is a plus.
Nice to have
- Familiarity with the audiovisual and/or technology sectors, or strong interest in systems integration and innovation, is highly beneficial.
