The Catering & Event Coordinator will handle day-to-day sales support, including corresponding with clients to gather event details, preparing Banquet Event Orders, coordinating event logistics, and serving as the onsite contact for events and weddings. They will ensure administrative processes remain consistent and timely, allowing remote sales managers to focus on selling new business. The role involves working closely with the Banquet Captain, Guest Experience Manager, and Food & Beverage Director to oversee event setup and execution.
Responsibilities
- Work with Banquet Captain to oversee set-up and execution of all functions and special events.• Produce accurate Banquet Event Orders for upcoming functions, in coordination with the sales coordinator in Denver.• Monitor accuracy and distribution of all Banquet Event Orders.• Conducts site tours for potential clients and VIP’s as needed.• Works with the Guest Experience Manager to facilitate banquet and catering evets and assist Guest events as needed. • Attend weekly Food & Beverage Department meetings for the purpose of reviewing arrangements and menus for upcoming banquet events.• Be familiar with all banquet/restaurant menus, including prices, taxes, etc.• Meet with group clients onsite to make sure their needs are met during planned events• Review banquet checks for correct posting of charges. • Conduct client site inspections as required.• Works closely with property Sales & Catering on all sales aspects of hotel sales and group events.• Handles client requests and provides superior customer service.• Must be well organized, detail orientated, handle multiple tasks, have exceptional telephone etiquette, outstanding customer service skills, and ability to work in fast-paced environment. • Exhibits excellent listening and negotiation skills and ability to ask open-ended questions.• Must remain flexible with schedule to accommodate business needs, including ability to work evenings, early mornings and weekends as required.• Organizes and accounts for banquet and special event equipment and materials on site• Contacts subcontractors as necessary if banquet equipment and personnel are needed to supplement current resources.• Orders banquet and special event equipment as necessary.• Works with Food and Beverage Director to ensure proper staffing of events if needed.• Able to meet deadlines.• Other duties as assigned
Requirements
- Minimum of 2 years of hotel sales experience or Event Management. • Must possess a valid driver’s license.
- Experience in OPERA, hotel property management, and sales and catering systems preferred.
- Constantly listening, hearing, seeing, standing, walking, using eye/hand coordination, handling, wrist motion. • Frequently walk and lift or carry up to 30 lbs.• Occasionally sit, handle, reach outward, reach above shoulder, squat or kneel, and push or pull up to 100lbs.• Will be required to stand long periods of time and to occasionally walk up flights of stairs.• Ability to work in extreme temperatures.
