The Banquet Manager is responsible for the planning, coordination, staffing, and successful execution of the Adobe Bar & Grille's banquet and special events. This role assumes operational responsibility for events once they are confirmed and transitioned from the Sales Manager, working closely with clients, culinary, food and beverage, golf operations, and other departments to ensure event details are properly communicated and executed. The manager provides hands-on leadership before, during, and after events, ensuring appropriate staffing, timely setup, professional service, and adherence to standards.

Responsibilities

  • Maintain overall management responsibility for the planning and operational execution of all banquet and special events.
  • Work with clients to finalize event details, including setup, timing, food and beverage service, equipment, and special requests.
  • Oversee the preparation and accuracy of Banquet Event Orders (BEOs). The Banquet Coordinator may assist with BEO preparation; however, the Banquet Manager is responsible for final review, accuracy, timely completion, and communication of event requirements.
  • Ensure event details and changes are communicated timely to culinary, food and beverage, golf operations, and other affected departments.
  • Oversee event setup, service, breakdown, and cleanup to ensure Adobe standards and client expectations are met.
  • Assign Banquet Captains to oversee individual events as appropriate. Captains serve in a supervisory capacity during assigned events and work under the oversight of the Banquet Manager.
  • Maintain appropriate management presence and oversight of events, including those assigned to a Banquet Captain.
  • Address significant client, service, staffing, or operational concerns and ensure appropriate follow-up.
  • Directly supervise the Banquet Captains and Banquet Coordinator and provide overall leadership to banquet and event employees.
  • Determine staffing requirements and prepare or oversee banquet schedules based on confirmed events, business needs, and established labor guidelines.
  • Assign Banquet Captains and employees based on event requirements and operational needs.
  • Establish expectations and provide Banquet Captains with the information and direction necessary to successfully supervise assigned events.
  • Train, coach, and provide ongoing direction to Banquet Captains, the Banquet Coordinator, and banquet employees.
  • Monitor attendance, punctuality, appearance, performance, service standards, and adherence to Company expectations.
  • Address performance or conduct concerns promptly and consistently in coordination with management and Human Resources, as appropriate.
  • Promote teamwork, professionalism, accountability, and a positive service-oriented work environment.
  • Maintain overall responsibility for the client experience following transition from sales through completion of the event.
  • Ensure professional and responsive client communication and that event expectations are clearly understood.
  • Work closely with the Sales Manager, culinary, food and beverage, golf operations, maintenance, and other departments to coordinate successful events.
  • Ensure changes, special requests, and operational concerns are communicated promptly.
  • Review significant client feedback and communicate repeat or referral business opportunities to the Sales Manager.
  • Monitor banquet staffing and labor costs to support established financial and operational goals.
  • Adjust staffing based on business needs while maintaining appropriate service levels and minimizing unnecessary overtime.
  • Oversee banquet supplies, linens, equipment, and other operational needs.
  • Ensure banquet equipment and supplies are properly maintained, stored, and available for scheduled events.
  • Minimize waste, loss, and unnecessary expenses and promptly address facility, equipment, or maintenance concerns.
  • Actively participates in meetings and training session.
  • Drafts and formats memos, emails, and reports in accordance with Company guidelines and protocols.
  • Performs all other related duties, as assigned. May be requested to assist with projects from time to time.

Requirements

  • Prior supervisory or management experience in banquets, catering, food and beverage, hospitality, or a related environment required.
  • Experience coordinating and executing weddings, corporate events, golf tournaments, private parties, or other large events required.
  • Experience working in a golf club, country club, resort, hotel, or similar hospitality environment required.
  • Strong leadership and supervisory skills with the ability to direct and motivate an event team.
  • Strong knowledge of banquet and event operations, including setup, service, breakdown, and event flow.
  • Excellent organizational, planning, and time-management skills.
  • Ability to manage multiple events, priorities, and deadlines simultaneously.
  • Strong attention to detail and ability to accurately interpret and execute BEOs and event specifications.
  • Excellent interpersonal, communication, and customer service skills.
  • Ability to remain professional and make sound decisions in a fast-paced environment.
  • Strong problem-solving skills with the ability to respond quickly to changing event needs.
  • Ability to effectively schedule and manage employees based on business needs.
  • Understanding of labor management, cost control, and operational budgeting.
  • Ability to train, coach, and provide appropriate direction to employees.
  • Ability to work collaboratively across multiple departments.
  • Ability to exercise good judgment and maintain confidentiality.

  • Ability to use MS Office – MS Word, Excel, and Outlook (Email).
  • Ability to use employee self-service on company’s human resources/payroll database
  • Must have and maintain a valid Arizona Driver’s License, maintain automobile insurance coverage and have access to an automobile.
  • Position may utilize golf carts; thus, must have a valid driver’s license.
  • Must be at least 21 years of age.

Nice to have

  • Bachelor’s degree in Hospitality, Event Management, Business, Marketing, or a related field preferred.
