As a Meeting & Events Coordinator at JLL, you will be at the heart of creating exceptional workplace experiences, managing the full lifecycle of meetings and events from initial consultation through flawless execution and post-event analysis. You will serve as the primary point of contact for clients, coordinate logistics including venue scheduling, audiovisual support, and compliance documentation, and collaborate with internal partners and vendors to deliver seamless events. This role is about crafting moments that matter for clients and their teams, ensuring every detail reflects JLL's commitment to excellence.
Responsibilities
- Serve as the primary point of contact for clients, consulting on event needs including space requirements, physical setup, audiovisual support, and hospitality services while responding to requests in accordance with established Service Level Agreements
- Manage the end-to-end event lifecycle from intake through completion, including triaging incoming requests, evaluating space availability and resource alignment, coordinating with internal business partners to gather information, and proposing alternatives when needed
- Execute simple and complex meetings and events, handling all operations, functions, and logistics including venue scheduling using client software systems, coordinating shipments and guest lists, and troubleshooting setup issues to ensure seamless delivery
- Coordinate Certificate of Insurance (COI) administrative support by requesting and collecting documentation from vendors, submitting and tracking COIs through compliance platforms, and maintaining organized records while notifying stakeholders of any compliance gaps
- Provide basic audiovisual support including microphone setup, sound system activation, and plug-and-play computer connections to enhance the attendee experience
- Utilize ticketing systems including Corrigo, Google Calendar, Social Tables, Slack, and Google Workspace to document and manage event programs, logging all activities, requests, and issues accurately in designated client systems
- Conduct pre-event planning kick-off calls, serve as day-of point of contact, facilitate post-event debriefs, document lessons learned, review survey feedback, and identify service enhancement opportunities to drive continuous improvement
Requirements
- High school diploma or GED equivalent
- 1-2 years of experience in event planning, project management, hospitality, or a related field
- Exceptional customer service skills with a passion for hospitality and creating memorable client experiences
- Excellent time management and verbal/written communication skills with the ability to communicate professionally across all organizational levels, including C-suite executives
- Proven ability to multi-task in a fast-paced environment while managing multiple priorities and delivering results
- Highly collaborative with strong interpersonal skills, initiative, integrity, and good judgment
- Flexible scheduling availability for early morning and evening event support, with weekend availability as event schedules require
Nice to have
- Bachelor's degree or proven experience as an event planner or organizer
- Proficiency in Google Suite applications and Slack
- Certified Meeting Professional (CMP) or similar industry certification
- Experience coordinating workplace events in a corporate or professional services environment
- Familiarity with event technology platforms and virtual/hybrid event best practices
