The Senior Event Planner will manage in-person and virtual events from concept through completion for a large global law firm. The role covers all aspects of event planning, including budget management, venue scouting, equipment logistics, room setup, and day-of management. The planner coordinates with internal staff, clients, vendors, and senior executives, and leads a team of event coordinators through mentorship and support.
Responsibilities
- Manage all aspects of event planning while staying on budget and meet strict guidelines
- Build and nurture relationships with vendors, venues, and other industry contacts while implementing the creative and logistical aspects of all events
- Work with internal staff, clients, and vendors to coordinate and establish the requirements for an event
- Liaise with senior executives and industry leaders throughout the planning process
- Coordinate visit sites and lead pre-event meetings to help event coordinators make decisions about event design
- Plan and facilitate logistics for all events, including contract negotiations, guest lists, venue preparation, presentation materials, catering, entertainment, transportation, equipment, and decor
- Oversee client experiences from conception through post-event review; manage on-site preparations, production, and event breakdown; and ensure consistent, high-level service throughout all phases
- Build and maintain a comprehensive database of industry contacts, vendors, and venues
- Provide day of assistance and management for all in-person and virtual events
- Manage virtual events/webinars from end-to-end (i.e. stakeholder-intake, tech runs, event follow up)
Requirements
- 5+ years’ experience in a similar role, preferably in a law firm environment
- Technically adept
- Excellent written and verbal communication skills
- Strong interpersonal skills
- Ability to organize, prioritize, and coordinate multiple aspects of an event
- Maintain confidential information
- Ability to excel under pressure and provide quality work product
- Clearly and effectively communicate with varying levels of people within the organization
- Work productively and cooperatively with other employees
- Lead a team of event coordinators through mentorship and support
- Ability to lift or move 40 lbs. or greater
- Ability to grasp, lift or carry packages on a standard wheeled cart with a load capacity of 75 lbs.
