The Senior Event Planner will manage in-person and virtual events from concept through completion for a large global law firm. The role covers all aspects of event planning, including budget management, venue scouting, equipment logistics, room setup, and day-of management. The planner coordinates with internal staff, clients, vendors, and senior executives, and leads a team of event coordinators through mentorship and support.

Responsibilities

  • Manage all aspects of event planning while staying on budget and meet strict guidelines
  • Build and nurture relationships with vendors, venues, and other industry contacts while implementing the creative and logistical aspects of all events
  • Work with internal staff, clients, and vendors to coordinate and establish the requirements for an event
  • Liaise with senior executives and industry leaders throughout the planning process
  • Coordinate visit sites and lead pre-event meetings to help event coordinators make decisions about event design
  • Plan and facilitate logistics for all events, including contract negotiations, guest lists, venue preparation, presentation materials, catering, entertainment, transportation, equipment, and decor
  • Oversee client experiences from conception through post-event review; manage on-site preparations, production, and event breakdown; and ensure consistent, high-level service throughout all phases
  • Build and maintain a comprehensive database of industry contacts, vendors, and venues
  • Provide day of assistance and management for all in-person and virtual events
  • Manage virtual events/webinars from end-to-end (i.e. stakeholder-intake, tech runs, event follow up)

Requirements

  • 5+ years’ experience in a similar role, preferably in a law firm environment
  • Technically adept
  • Excellent written and verbal communication skills
  • Strong interpersonal skills
  • Ability to organize, prioritize, and coordinate multiple aspects of an event
  • Maintain confidential information
  • Ability to excel under pressure and provide quality work product
  • Clearly and effectively communicate with varying levels of people within the organization
  • Work productively and cooperatively with other employees
  • Lead a team of event coordinators through mentorship and support
  • Ability to lift or move 40 lbs. or greater
  • Ability to grasp, lift or carry packages on a standard wheeled cart with a load capacity of 75 lbs.
  • Ability to walk, bend, kneel, stand or sit for an extended period of time
