This position supports the academic and administrative work of the John W. Rawlings School of Divinity by planning, coordinating, and executing events and travel arrangements. The coordinator manages event logistics, budgets, vendor communication, and on-site support, ensuring a seamless experience for participants. The role also handles travel arrangements for employees and guests, including flights, accommodations, and transportation.
Responsibilities
- Plan and coordinate events, including conferences, meetings, and corporate functions.
- Manage all aspects of event logistics, including venue selection, catering, transportation, and accommodations.
- Develop and maintain event budgets, ensuring cost-effective solutions.
- Coordinate travel arrangements for employees and guests, including flights, accommodations, and transportation.
- Communicate with vendors, suppliers, and stakeholders to ensure all event and travel needs are met.
- Create and distribute event materials, such as agendas, invitations, and itineraries.
- Provide on-site support during events to ensure smooth execution.
- Handle post-event tasks, including feedback collection and reporting
- Other duties as assigned.
Requirements
- Proven experience in event planning and travel coordination.
- Excellent organizational and time management skills.
- Strong communication and interpersonal skills.
- Proficiency in Microsoft Office Suite and event management software.
- Ability to work under pressure and manage multiple tasks simultaneously.
- Attention to detail and problem-solving skills.
- Minimum of bachelor's degree
- Minimum of 1 year of experience in related-field
Nice to have
- Certification in Event Planning or Travel Coordination.
- Experience with international travel arrangements.
- Knowledge of current trends in event planning and travel management.
