The Event Manager is responsible for planning and executing meetings and events at a full-service hotel, managing every stage from initial file review through final billing. The role serves as the primary client contact, coordinating with reservations, credit, billing and operational teams to ensure seamless delivery. The manager prepares Banquet Event Orders, group resumes and other documentation, leads internal and client-facing planning meetings, and maintains accurate booking information in Delphi. They also forecast group food and beverage spend, monitor room block performance and drive incremental revenue through banquet and room rental opportunities.

Responsibilities

  • Review assigned group files, contracts, and addenda for accuracy and completeness.
  • Serve as the primary client contact, leading all communication and introductions to operational and vendor partners.
  • Build strong client relationships through consistent, professional engagement and support.
  • Prepare detailed Banquet Event Orders (BEO), group resumes, and other documentation to ensure seamless operational execution.
  • Communicate event details and deadlines to clients, securing approvals and ensuring clarity throughout the planning process.
  • Partner with reservations, credit, and billing teams to manage group room blocks and payment processes.
  • Lead internal and client-facing meetings, including pre-convention planning sessions, to align on event needs.
  • Maintain accurate booking information in Delphi, including space blocks, function details, and signed documents.
  • Forecast and report on group food and beverage spend, and monitor room block performance.
  • Drive incremental revenue through banquet food and beverage and room rental opportunities.
  • Attend relevant hotel meetings, including staff, resume review, and BEO sessions.
  • Regular attendance in conformance with standards.
  • May be required to work varying schedules to reflect business needs.
  • Required to attend all mandatory training sessions and meetings.
  • Perform other duties as assigned.

Requirements

  • Minimum one year of experience in event management, sales, or related experience, in full-service hotel environment or minimum two years of experience in guest-facing Customer Service and or hospitality role, preferred.
  • Knowledge of hotel operational departments.
  • Must be able to partner effectively with clients, guests, and all levels of hotel staff and management.
  • Ability to stand, sit, walk, reach, and lift/pull/push 35 plus pounds regularly throughout the shift.

Nice to have

  • Proficient Microsoft Office Suite, Delphi and diagramming software experience, preferred.
