The Events and Community Outreach Coordinator is an in-person, part-time position focused on planning, setting up, and managing day-of operations for on-mountain Snowbowl events, as well as planning and executing community events in Flagstaff and beyond. The role also supports community outreach initiatives, maintains event-related communication across social media and website, and leverages AI tools to streamline event-related tasks. The coordinator serves as the on-site point of contact during events and represents the brand at community events and ski shows.

Responsibilities

  • Plan and execute Snowbowl's on-mountain events (including but not limited to passholder, family-driven, and guest-facing events) from initial concept through post-event wrap-up
  • Work with the marketing team on campaigns promoting events, and keep the website updated with accurate event details and registration information
  • Coordinate with other departments to plan and execute events
  • Build staffing plans, run-of-show documents, and logistics checklists; gather and coordinate staff for each event
  • Coordinate on-site day-of operations, including setup, vendor and staff coordination, signage/branding, timelines, and breakdown, serving as the on-site point of contact
  • Discuss and work through with manager: event budgets, vendor contracts, permits, and sponsor relationships
  • Evaluate events post-completion and prepare recap reports for leadership on attendance, budget, and lessons learned
  • Plan for Snowbow’s attendance and execute community events in Flagstaff, around the state, and in nearby states, including events that require travel
  • Work with the marketing manager on registration details and payment processing for community events
  • Work with other departments and other collective resorts on community event planning and execution
  • Travel as needed to attend, set up, and execute community events outside of Flagstaff
  • Coordinate day-of setup and operations for community events, including equipment transportation and breakdown
  • Represent Snowbowl at community events and ski shows, strategizing and coordinating attendance with the marketing manager
  • Work with the marketing manager to budget for community events
  • Assist in building and maintaining relationships with local community organizations, schools, businesses, and municipal partners
  • Help identify community partnership and outreach opportunities that align with brand goals
  • Understand local community needs and act as a liaison between the community and Snowbowl
  • Work with the marketing team to maintain accurate, up-to-date event information across social media and other online channels
  • Assist the marketing team with capturing photo and video content at events, including social-ready short-form content (Reels, TikTok, Stories)
  • Support public relations efforts by representing the brand in a fun, respectful manner and assisting with event-related interview requests
  • Use AI tools to support and streamline event-related tasks and projects
  • Develop and maintain AI-powered workflows and tools that help automate recurring event and outreach processes
  • Stay current on new AI tools and identify opportunities to apply them to improve event planning, execution, and communication

Requirements

  • One year of experience in event management, marketing, communications, or a related field
  • Strong organizational and project management skills, with the ability to manage multiple events and deadlines simultaneously
  • Strong written and verbal communication skills
  • Comfortable working outdoors, on your feet, and in varying weather conditions during events
  • Willingness and ability to travel within Arizona and to nearby states for community events, including occasional overnight travel
  • Valid driver's license
  • Must be able to read, write, speak, and understand English
  • Comfortable using AI tools, with the ability to build simple AI-driven workflows or automations to support event and outreach tasks
  • Ability to work on-site, with some weekend and holiday availability as needed

Nice to have

  • Experience with community outreach, partnership development, or sponsorship program management
  • Photography or videography skills
  • Basic understanding of Lightroom CC and Creative Cloud
  • Basic understanding of WordPress and other marketing platforms
  • Hardworking, eager to learn, and a self-starter with excellent time management skills
  • Strong analytical and problem-solving skills, especially under time pressure
  • Ability to work both independently and as part of a team
  • Proficiency in marketing or event analytics tools, such as Google Analytics or social media analytics platforms
  • An ability and love for skiing and snowboarding
