The Medical Affairs Operations Specialist serves as a key member of the local Medical Operations Affairs Team, collaborating with the Global Medical and Scientific Affairs (GMSA) organization. The role focuses on event management, including planning, coordination, submission in Veeva Events, approval follow-up, contract management, and payment management. It also involves standardizing processes, analyzing key performance indicators, and fostering cross-functional collaboration to ensure compliance and process optimization.

Responsibilities

  • Event management: planning coordination, submission in Veeva Events, approval follow up, contract management, coordination with local agency, event monitoring, provide updates to event owners (Medical Managers), payment management.
  • Permanent coordination with Operations Specialist (supervisor).
  • · Standardization and harmonization of applicable processes at local level (Cluster and/ or countries) not limited to Group Input Meeting, Non promotional Medical Education programs, Country to Country process.
  • · Identify target areas of improvement and promote the policies and procedures that ensure LATAM GMSA activities are executed in accordance with compliance and local country requirements.
  • · Teamwork with GMSA staff at local level (Medical Managers, MSLs and administrative personnel).
  • · Collect and analyze the key performance indicators for the cluster team in sync with the GMSA Strategy.
  • · Follow up and tracking of Corporate trainings.
  • · Optimize processes using approved platforms and systems of records (SOR): Veeva CRM, Veeva Events/cVents, Veeva Quality Docs, MyLearning.
  • · Foster cross functional collaboration with internal stakeholders by generating spaces for a multidisciplinary view of critical activities aimed to achieve the GMSA objectives, maintaining clear communication channels and collaborating in the preparation of meeting logistics.
  • · Coordination with Human Health partners (Events, Business Support, Procurement, Finances) to guarantee the process optimization.
  • · Instills a culture of best practice, knowledge sharing and company ways of working.
  • · Facilitate teamwork and promote the use of effective internal communication channels (Internal meeting logistics – Minutes, Email communications, Meeting Agendas, Teleconferences, Venue Availability - Email Etiquette, Newsletter, Sharepoint) in accordance with delineation.

Requirements

  • · Education: Bachelor´s Degree
  • · 1 years of experience in the pharmaceutical industry is not mandatory but is a plus.
  • · Excellent strategic planning, organization and persuasive communications skills
  • · Compelling teamwork, collaborative and influencing skills
  • · Excellent interpersonal communication and presentation skills
  • · Understanding of basic financial procedures, including budget and project monitoring
  • · Intermediate level of English
  • · Spanish as first language
  • · Soft skills and proactive
