The Events Manager plans and executes dynamic, engaging MOSI-produced events that drive attendance, generate revenue, increase community engagement, and advance MOSI's mission of promoting STEAM education. This role manages all stages of internal event planning, from concept development through execution and evaluation, while coordinating effectively with internal departments, vendors, partners, sponsors, and other stakeholders. This position does not oversee private event rentals or off-site events.

Responsibilities

  • Collaborates with the Director of Development and departments across MOSI to plan and execute museum-produced events that support MOSI's mission, increase attendance, generate revenue, and strengthen community engagement.
  • Develops event concepts, timelines, budgets, layouts, run-of-show documents, and operational plans.
  • Identifies, solicits, and secures vendors, community partners, exhibitors, performers, and other event participants.
  • Serves as the primary point of contact for event participants, coordinating requirements, schedules, setup needs, insurance documentation, and day-of logistics.
  • Assists with sponsor benefit and recognition fulfillment as designated by the Director of Development, including coordinating signage and ensuring approved benefits are provided.
  • Coordinates event supplies and services, including obtaining quotes, placing orders, purchasing supplies, arranging rentals, and tracking expenses.
  • Provides hands-on event support, including decorating spaces, purchasing and distributing ice and other supplies, setting up and breaking down event areas, operating basic sound equipment, and overseeing on-site activities.
  • Coordinates with internal departments to promote events, maximize attendance, and ensure operational readiness.
  • Ensures events comply with MOSI policies and applicable insurance, health, safety, and facility requirements.
  • Troubleshoots issues before and during events to ensure programs run safely and smoothly.
  • Maintains accurate and organized electronic files, calendars, vendor records, correspondence, contracts, invoices, and other event documentation.
  • Conducts post-event follow-up with vendors, sponsors, partners, and staff; gathers feedback and evaluates event outcomes to identify opportunities for improvement.
  • Provides cross-functional support to the Development team for MOSI-produced events, special exhibitions, Dome programming, and other organizational initiatives as needed.
  • Works a flexible schedule, including evenings, weekends, and holidays, as required for MOSI events.
  • Performs other duties as assigned.

Requirements

  • Bachelor's degree or equivalent professional experience in event management, hospitality, nonprofit management, or a related field preferred.
  • Previous experience planning and executing events from concept through completion required.
  • Experience in nonprofit development, fundraising, sponsorship fulfillment, marketing, or community engagement preferred.
  • Excellent written and verbal communication skills.
  • Strong organizational, time-management, decision-making, and problem-solving skills, with the ability to manage multiple events and deadlines simultaneously.
  • Strong attention to detail and the ability to anticipate and respond to the needs of attendees, vendors, sponsors, partners, and other stakeholders.
  • Ability to collaborate effectively across departments and provide leadership during event execution.
  • Creative, flexible, resourceful, and willing to provide hands-on event support, including setup, breakdown, decorating, purchasing supplies, and operating basic sound equipment.
  • Proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
  • Experience with TAM or comparable customer relationship management software, Jotform, and Canva preferred.
  • Commitment to providing a positive guest experience.
  • Ability to work a flexible schedule, including evenings, weekends, and holidays, as required.
