The Event Assistant supports the execution of private and group events at an aquarium venue, acting as the on-site liaison between event clients, catering teams and exhibit operations staff. The role involves reviewing event plans and floorplans, checking in third-party vendors, confirming set-ups, communicating event timelines, troubleshooting audio-visual equipment and conducting walk-throughs before and after each event. The assistant also prepares event recap summaries and ensures the venue is ready for next-day operations. Hours are part-time and vary depending on the event schedule, including weekdays, evenings and weekends.

Responsibilities

  • Meet with Event Service Manager prior to event to review event planner, staff timeline and floorplans
  • Meet all third-party vendors upon arrival to check-in and help assist them to set-up location
  • Ensure all third-party vendors are adhering to all Newport Aquarium policies & procedures
  • Ensure all required set-ups reflect approved floorplans
  • Confirm all set-ups are complete and all vendors (including F&B) are ready and in position prior to event start time
  • Communicate event start to all parties involved and key activities/times throughout the night
  • Works as a liaison between event client, catering team and exhibit operations staff
  • Greet event client upon arrival and conduct periodic check-in’s to ensure all client expectations are being met
  • Be familiar with all Audio-Visual equipment and understand how to operate and troubleshoot A/V capabilities
  • Event wrap-up with client at the conclusion of each event
  • Ensure all third-party vendors clean up their space efficiently and assist them with exiting procedure
  • Complete kitchen walk-through with catering team and both parties sign off on check-out sheet prior to their departure
  • Complete final walk-through with Event Coordinator and Exhibits Team Lead to ensure the Aquarium has been prepared for next-day operations
  • Prepare an event recap summary to be sent to Event Service Manager and General Sales Manager to include any issues that occurred, learning experiences and client/guest remarks
  • Other duties as assigned

Requirements

  • Must be 18 years old or older
  • Strong customer service, time management and problem-solving skills needed
  • Ability to multi-task in a fast-paced environment, with focused attention to detail
  • Must be a team player, ready to help whenever and wherever needed
  • Proficient in Microsoft Office (including Excel, Word, Outlook)
  • Ability to work week days, evenings, and weekends
  • Successful completion of pre-employment criminal background check
  • Physical strength, including the ability to lift up to 25 pounds
  • Ability to remain stationary for long periods of time, ascend/descend stairs, bend and stoop.
  • Immunocompetence (possible exposure to infections and parasitic disease).

Nice to have

  • Previous experience working events desired
  • Reliable transportation is highly encouraged as public transportation usually stops running prior to the end of an event
