The Event Sales Coordinator at The Emily Hotel Chicago supports the Event Manager and Director of Food and Beverage in detailing and coordinating events across the hotel's venues, including Fora Restaurant, private dining, and Selva rooftop. Responsibilities include managing Tripleseat leads, maintaining event calendars, communicating arrangements to hotel departments, coordinating vendors, and assisting with on-site event oversight. The role ensures client requirements are met and fosters repeat business through timely follow-up.

Responsibilities

  • Tripleseat experience with skills including managing leads, creating & detailing events, creating documents, managing deposit updates, and maintaining client contacts and accounts.
  • Field Tripleseat inquiries and voicemail requests. This includes checking availability and qualifying all leads before passing along to the Event Manager.
  • Maintain and update the event calendar organizing prospects, tentative proposals and definite bookings.
  • Involving yourself in developing and creating specialty items pertaining to each event, such as the printing of any menus and place-cards, along with any other details designed to make the event completely unique.
  • Excellent communication and attention to detail are vital in this role, as our success depends on meeting and exceeding our client's tailored requirements.
  • Communication of function-arrangement to all responsible hotel departments.
  • Work with accounting in collecting client deposits, final payments, adjustments, and sending receipts.
  • Creating posting masters in Opera Cloud. Maintaining resume notes and client details.
  • Assist when needed in conducting special events, site inspections, and off-site catering.
  • Overseeing and managing events on site as assigned by Event Sales Manager
  • Ensure timely follow-up with clients including Thank You’s and outreach for repeat business.
  • Arranging and coordinating any third party vendors needed for events
  • Coordination and execution of offsite events for GRNBA, WCA, Choose Chicago, Taste of Hope, and other partner organizations within the Chicagoland Area.
  • Must be able to work a flexible schedule. Work a variety of days and shifts (including early mornings, late nights and weekends) as needed.
  • Prepare and present Weekly BEO’s and Resume’s for all Emily Hotel departments. Update shared drives, and print copies as needed.
  • Must be available when client accounts are in-house.
  • Be a resource to other hotel departments as liaison to Catering Sales.

Requirements

  • Command of the English language both written and verbal, with the ability to demonstrate warmth and empathy when engaging with others.
  • Must be able to stand in one place for extended periods of time, and to remain on feet for up to 8 hours, including being able to lift 40lbs.
  • A four-year college degree is preferred. Minimum two years in sales capacity in a comparable hotel/resort. Additional experience in events, rooms, and/or reservations preferred.
  • Technologically sound with Microsoft Office applications.

Nice to have

  • Proficient computer skills include but are not limited to Microsoft Word, Power Point, Excel, and Outlook. Opera experience preferred.
  • Previous sales experience preferred.
  • Previous restaurant sales experience in a high end and/or luxury hotel or resort preferred.
