As the Marketing Coordinator, Events, you will own execution of OpenSesame's trade show and live event calendar, with a strong emphasis on event logistics and onsite execution. You will manage hands-on logistics, vendor relationships, budgets, and cross-functional alignment with sales and marketing teams. The role reports to the Manager of Integrated Campaigns and works alongside the Field Marketing Manager to execute the live event calendar.
Responsibilities
- End-to-End Event Execution: Plan, manage, and execute OpenSesame’s event calendar, including third-party trade shows and field events.
- Campaign & Cross-Functional Alignment: Translate Integrated Campaigns strategies into actionable event plans - partnering closely with your team members across marketing while aligning directly with Sales, Customer Success, and GTM Operations on audience targeting, messaging, and pipeline goals.
- Logistics & Vendor Management: Own all operational details - booth logistics, contract negotiations, venue sourcing, staff scheduling, travel coordination, shipping, promotional materials, and vendor relationships.
- Sales & Partner Enablement: Build pre-event prep materials, coordinate booth/meeting staffing schedules, and equip sales representatives and partner managers with the tools and context needed to maximize onsite meetings and follow-ups.
- Budget & ROI Tracking: Manage event budgets down to the penny and track key event performance metrics (MQLs, meeting volume, pipeline contribution, cost-per-lead) to report performance against budget and targets for manager review.
- AI & Modern Workflow Adoption: Integrate AI tools into your daily workflow to streamline event communications, build promotional copy faster, summarize event takeaways, and optimize event administrative tasks.
- Complete onboarding and set up 1:1s with key partners across Integrated Marketing, Sales, RevOps, and Partner teams.
- Audit all active and upcoming Q3/Q4 events (live and digital) to understand commitments, contracts, timelines, and deliverables.
- Shadow existing tradeshow and event operational workflows, including booth build/breakdown, to learn current tech stack, attribution tags, and CRM handoff points.
- Take direct ownership of logistics for our upcoming events already on the calendar.
- Fully own the end-to-end execution of trade shows as well as support on field events, ensuring clean tracking, tight vendor management, and seamless pre/post-event sales handoffs.
- Standardize the pre-event enablement process for sales reps attending field events (briefing documents, meeting schedules, target account lists).
- Establish a repeatable post-event follow-up rhythm in partnership with demand gen and sales ops to guarantee rapid lead routing and campaign attribution.
- Identify one manual event workflow (e.g., vendor communications, attendee follow-up copy, or speaker briefing docs) and implement an AI-driven tool or template to accelerate it.
- Contribute event-level performance data and takeaways — pipeline contribution, ROI, and partner participation — to the Q3/Q4 event retrospective.
- Provide input on proposed event types, budget needs, and partner opportunities to support the 2027 events strategy.
- Formalize a scalable event request and evaluation rubric to help the integrated marketing team evaluate incoming field/partner event opportunities against ideal customer profile (ICP) fit and cost efficiency.
