The Event Planner will join the Meeting and Events Team in Newport Beach, CA, filling a new role on a team of five event planners in the Consumer Markets division. The role involves coordinating meeting and event logistics, including hotel sourcing, rooming lists, food and beverage planning, transportation, registration management, and audiovisual requirements. The planner will manage assigned meetings and events from planning through onsite execution, ensuring timelines, budgets, and deliverables are met, while building relationships with vendors and partnering with internal stakeholders to deliver high-quality attendee experiences.
Responsibilities
- Ability to coordinate meeting and event logistics including hotel sourcing, rooming lists, food and beverage planning, transportation, registration management, and audiovisual requirements.
- Manage assigned meetings and events from planning through onsite execution, ensuring timelines, budgets, and deliverables are met.
- Build and maintain relationships with hotels, venues, destination management companies, and other vendors while supporting contract and vendor management activities.
- Partner with internal stakeholders to understand event objectives and deliver high-quality attendee experiences aligned with business goals.
Requirements
- 2+ years of experience • 4-year degree or equivalent experience
- Ability to coordinate meeting and event logistics including hotel sourcing, rooming lists, food and beverage planning, transportation, registration management, and audiovisual requirements.
- Manage assigned meetings and events from planning through onsite execution, ensuring timelines, budgets, and deliverables are met.
- Build and maintain relationships with hotels, venues, destination management companies, and other vendors while supporting contract and vendor management activities.
- Partner with internal stakeholders to understand event objectives and deliver high-quality attendee experiences aligned with business goals.
- Ability to solve problems, adapt to changing priorities, and work effectively in a fast-paced environment
Nice to have
- Working knowledge of Cvent
- Strong organizational and project management skills with the ability to manage multiple priorities simultaneously
- Experience supporting corporate meetings, conferences, or trade show
- Hospitality, venue, destination management company (DMC), or event agency experience
