As a Client Experience Events Coordinator, you will coordinate client and internal meetings and events from booking through to delivery, managing room layouts, catering, technology, and visitor access. You will act as a key point of contact for event organisers, respond to changing requirements, and work closely with Reception, Hospitality, AV, Facilities, and Security teams to ensure seamless experiences. The role involves monitoring schedules, maintaining records, supporting health and safety compliance, and contributing to continuous improvements in client and colleague experience.

Responsibilities

  • Coordinating client and internal meetings and events from initial booking through to successful delivery.
  • Managing event requirements including room layouts, catering, technology, visitor access and attendee arrangements.
  • Preparing and maintaining meeting and event spaces to ensure they are professional, welcoming and ready for use.
  • Acting as a key point of contact for event organisers, providing support before and during events.
  • Responding to changing requirements and resolving issues quickly to ensure a seamless event experience.
  • Working closely with Reception, Hospitality, AV, Facilities and Security teams to deliver exceptional service.
  • Monitoring event schedules, maintaining accurate records and ensuring booking information remains up to date.
  • Supporting health and safety compliance, identifying risks and escalating issues where appropriate.
  • Providing clear communication and handovers to colleagues to ensure smooth day-to-day operations.
  • Contributing ideas and continuous improvements to enhance the client and colleague experience.
  • Maintaining high standards of professionalism, confidentiality and service delivery at all times.

Requirements

  • Experience supporting meetings, events, hospitality or client-facing services within a professional or corporate environment would be beneficial.
  • Experience using a booking or event management system.
  • The ability to coordinate multiple requests, deadlines and service providers within a busy operational environment.
  • A practical understanding of meeting room layouts, event logistics, hospitality coordination and basic AV support is useful but not essential.
  • Excellent organisation and prioritisation skills.
  • Confident written and verbal communication skills, with the ability to work professionally with people at all levels.
  • Good IT skills, including Microsoft Office, Outlook, Teams and booking or workflow systems.
  • The ability to maintain accurate records, follow agreed processes and provide clear operational updates.
  • A calm, practical and solutions-focused approach when priorities or requirements change.
  • Good awareness of health and safety considerations within meeting and event spaces.
  • A proactive, flexible and collaborative approach, with the confidence to work independently and take ownership of tasks.
  • An understanding of the importance of confidentiality, discretion and privacy within a legal services environment.
