As our Events & Operations Associate, you'll own how Pluralis shows up in the world - our conference presence, workshops, offsites and hosted events - and keep the operational machinery behind a fast-moving research company running cleanly. This is a hands-on, execution-first role working directly with our CEO and Chief of Staff. In the past year alone we've run five to six events at ICML, locked in an official NeurIPS workshop, launched a Tech Talks series and opened planning for ICLR - and we need someone who can own all of it end to end.

Responsibilities

  • Own event logistics end to end: team offsites, conference presence (NeurIPS, ICLR and beyond), our Tech Talks series, and dinners and hosted meetings for our CEO.
  • Drive post-event follow-through: capture details, summaries and learnings in one source of truth so every event makes the next one better.
  • Systemise travel and scheduling for our CEO with an agent-first mindset - the goal is to build dialled, repeatable systems, not to be a permanent EA.
  • Provide broad operational support across the business: executing onboarding flows, polishing documents and communications, and standing up our San Francisco office presence.

Requirements

  • A track record of flawless execution - you ship, you follow through, and things you own don't fall through the cracks.
  • Demonstrated experience running events end to end: venues, logistics, budgets, vendors, on-the-day delivery.
  • A systems mindset - you'd rather build something once that runs itself than repeat a task forever.
  • Comfort rotating across functions in a small, fast-moving team without waiting for direction.
  • Strong written communication - much of this role is turning chaos into clear documentation.
  • High discretion working closely with founders and executives.

Nice to have

  • Experience coordinating conference presence or side events in tech, AI/ML, research or crypto communities.
  • Hands-on use of AI tools and agents to automate your own workflows.
  • Experience in an early-stage startup through a period of rapid growth or fundraising.
