The Events Coordinator is responsible for planning and coordinating all aspects of assigned events, including logistics, vendor management, safety, and setup. They also manage event inventory and equipment, ensuring maintenance and compliance. This role supports the Hospitality Services Manager and handles additional duties as needed.
Responsibilities
- Coordinate and oversee all aspects of assigned events, including:
- Collaboration with internal departments and service providers
- Logistics, parking, and transportation arrangements
- Lodging accommodations and travel schedules
- Rental equipment and services
- Event signage
- Vendor sourcing, contract management, and oversight
- Invitations and promotional materials
- Safety and security planning
- Event setup, teardown, and cleanup
- Reservations and attendee confirmations
- Space planning and event layouts
- Venue coordination and hospitality orders
- Entertainment arrangements
- Event décor and decorations
- Maintain and organize inventory for all R.J. Corman event supplies.
- Coordinate the maintenance, operation, and cleaning of event equipment.
- Identify and address safety and operational concerns.
- Organize, inventory, clean, and oversee repairs for event equipment and materials, including tables, chairs, linens, staging, pipe and drape, coolers, sound systems, signage, and related items.
- Schedule, perform, and document maintenance activities for all event equipment.
- Inventory and replenish supplies as needed in Command Centers.
- Conduct monthly inventory and equipment audits.
- Maintain and update equipment records within Fleet Manager.
- Ensure Department of Transportation (DOT) compliance for all vehicles.
- Regularly clean and audit storage buildings and equipment storage areas.
- Maintain and coordinate the employee pool vehicle fleet.
- Assist the Hospitality Services Manager with additional duties and special projects as assigned.
Requirements
- Associate degree in business, event management, hospitality, or a related field, or an equivalent combination of education and experience.
- Three to five years of related experience preferred.
- Strong interpersonal and customer service skills.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Proficiency with Microsoft Office applications, including Word, Excel, and PowerPoint.
- Experience maintaining databases and records.
- Familiarity with modern office communication and telephone systems.
- Strong organizational, problem-solving, and attention-to-detail skills.
- Ability to travel as required.
- Availability to work evenings and weekends as needed.
- Ability to lift and move equipment weighing up to 50 pounds.
- Ability to operate and perform basic maintenance on facilities and event equipment
