The Events Assistant supports the Event Planning team in planning, preparing, and executing company and special events. Responsibilities include assisting with event coordination, communicating with employees and vendors, supporting event setup, maintaining the events calendar, and performing inventory audits. The role also involves providing onsite support at events and responding to guest inquiries.

Responsibilities

  • Assist Event Planning team in the planning, preparation, and execution of all small- and large-scale Company and special events.
  • Assist with all aspects of event planning as assigned by the Event Planning Team.
  • Assist with event coordination communication with employees, staff, and vendors according to event details.
  • Assists and works closely with event set up teams to ensure accurate event setup as specified in floorplans.
  • Provides onsite support to vendors and staff to ensure alignment with event plans and layouts.
  • Assist event inquiries, relaying pertinent details to team members as necessary.
  • Maintains Company events calendar including audits of meeting/event spaces.
  • Performs monthly inventory audits of banquet supplies, linens, and event kits.
  • Develops and maintains collaborative and positive relationships with internal departments and cross-functional teams that support and contribute to events.
  • Responds timely to guest inquiries and coordinates on-site check-in procedures with Event Planning team.
  • Travels and attends on and off-site events.
  • Performs other related duties and projects as business needs require at direction of management.

Requirements

  • High school diploma or equivalent.

Nice to have

  • Minimum one (1) year of office administration/coordination experience preferred.
  • Minimum one (1) year of event support experience preferred.
  • California Food Handlers Card preferred.
  • California Responsible Beverage Service (RBS) training certificate preferred.
