The Lead Event Producer serves as the project leader and operational engine behind the company's flagship live events, driving cross-functional alignment across Product, Marketing, Event Operations, Broadcast Production, and Business Development from concept through on-site delivery. Sitting within the Product & Community organization, the role acts as the connective tissue across all internal and external workstreams, ensuring master project milestones, event product features, show programming and on-site experiential builds land on schedule, within budget and to the highest standard. The position also oversees event budgets, partner delivery, on-site execution and post-event reporting, reporting to the General Manager.

Responsibilities

  • Build, own, and govern the end-to-end master event schedule, aligning Go-to-Market (GTM) marketing timelines, event feature rollouts, stage build-outs, and broadcast production milestones.
  • Serve as the primary coordination point across Product, Event Ops, Creative, Marketing, and Broadcast to resolve dependencies, eliminate resource bottlenecks, and prevent operational friction.
  • Serve as the central intake and evaluation point when project requirements shift (e.g., last-minute stage reveals, tournament bracket expansions, or venue adjustments), assessing downstream impacts across broadcast, ops, and budget.
  • Proactively identify delivery bottlenecks and operational risks well ahead of event windows, implementing practical solutions to maintain delivery excellence.
  • Develop and refine standardized event intake briefs, RACI matrices, and project documentation templates across the organization.
  • Support Business Development and Product by translating external partner agreements, including game publisher showcases, strategic partner activations, and regional operating partnerships, into clear cross-functional operational plans.
  • Coordinate across Broadcast, Creative, and Event Ops to ensure partner deliverables (stage share-of-voice, show floor footprints, digital broadcast assets, and promotional integrations) land seamlessly without compromising tournament flow.
  • Partner with internal account managers to monitor and confirm the accurate on-site and on-stream delivery of all contracted partner inventory and experiential commitments.
  • Manage and track the overall event project budget, monitoring departmental allocations across Ops, Marketing, Product, and Broadcast to ensure financial discipline.
  • Partner with internal department leads to review vendor contracts, production scopes, and contractor allocations to maximize commercial value while maintaining event quality.
  • Oversee milestone sign-offs, operating partner financial tracking, and reconciliation for external event production costs as required.
  • Work closely with Finance to audit and reconcile final event production expenditures and partner fulfillment reports against initial baseline budgets.
  • Support and direct on-site event delivery as needed, managing escalations and ensuring real-time cross-departmental coordination (e.g., broadcast and product).
  • Maintain clear operational swimlanes with Event Operations on venue logistics and tournament floor flow, and with Broadcast Production on control room and stream execution.
  • Lead cross-functional post-mortems and reconcile operational deliverables to continuously refine and standardize Evo’s master event delivery playbook.

Requirements

  • 10+ years of experience leading large-scale live event productions, complex multidisciplinary programs, or major experiential entertainment projects (agency, sports, or live video games background strongly preferred).
  • Demonstrated mastery of building and managing integrated, multi-workstream project schedules with strict budget and milestone accountability.
  • Exceptional communication, negotiation, and relationship-management skills, with the credibility to influence senior executives, game publishers, and external partners.
  • Strong track record managing complex project budgets and understanding commercial contracts, licensing deliverables, and event fulfillment.
  • Solid working literacy across live broadcast, digital content workflows, creative design pipelines, tournament operations, and venue general contracting.
  • Ability to navigate fast-paced live production environments with structured problem-solving and sound judgment.
  • Passion for gaming, esports, entertainment, creator culture, or adjacent industries.
