The Special Events Coordinator supports the Special Events Manager by coordinating logistics for special events, donor events, and organization events. Responsibilities include managing vendors, permits, supplies, and day-of event logistics; maintaining event calendars; coordinating volunteers; assisting with event performance reports; and managing event invitations and registrations. This role is part of the Philanthropy team at San Diego Humane Society, contributing to the organization's lifesaving mission.
Responsibilities
- Manage logistics for each special event as well as donor events and organization events, including but not limited to securing vendors and permits; maintaining storage facilities and inventory of event related supplies; Set up and facilitate transportation of all supplies from storage unit and SDHS to event site. Serve as point of contact for day of event logistics. Coordinate event set-up and all day of event deliveries.
- Maintain the special events master calendar for each event ensuring tasks are completed on a timely basis. Ensure all events are on organizations calendars.
- Work with Volunteer Engagement to coordinate volunteers to assist with event preparation researching, recommending and ordering prizes for incentive programs.
- Manage Philanthropy email/phone inboxes daily and respond promptly to any inquires.
- Assists Events Manager in preparing weekly, monthly, and annual event performance reports.
- Coordinate design and production of event invitations. Prepare materials and coordinate vendor printing/mailing/emailing of invitations. Arrange for volunteers to prepare invitations for mailing. Send invitations and track reservations.
- Manage Walk for Animals event registrations and assist participants in registering over the phone or by email. Including but not limited to individuals, teams and businesses.
Requirements
- AA degree or equivalent combination of education and experience required.
- Two (2) years of experience coordinating or managing the logistics of special events in a paid position, preferably with a nonprofit organization.
- Must have a valid driver’s license and be approved by SDHS insurance carrier to drive a company or personal vehicle for work purposes.
Nice to have
- Bilingual in English/Spanish a plus.
