The Volunteer & Events Coordinator supports St. Joseph Center's mission by assisting with volunteer intake, scheduling, communications, and engagement tracking, as well as event preparation, registration, and day-of support for volunteer activations and fundraising events. Reporting to the Director of Community Partnerships, Volunteers and Events, this role provides administrative and coordination support for the Development Department's events and volunteer programs, helping to ensure projects stay organized and on schedule.
Responsibilities
- Support the coordination and scheduling of individual volunteers, volunteer groups, court volunteers, and community partners.
- Communicate with volunteer groups regarding upcoming opportunities, shift details, expectations, cancellations, and follow-up needs.
- Provide administrative support for Development Department events, fundraising events, donor engagement activities, and community events.
- Support data entry related to events, attendees, volunteers, sponsors, donors, and event participation.
- Assist with general administrative and coordination needs related to volunteer engagement, events, and community partner support.
- Assist with volunteer newsletters, volunteer opportunity announcements, and volunteer spotlight content.
- Help identify opportunities to strengthen the volunteer experience and improve volunteer systems.
- Assist with event invitation lists, RSVP tracking, registration, guest check-in, event flow, and day-of logistics.
- Help track event details, deadlines, and action items to ensure projects stay organized and on schedule.
- Support post-event follow-up, including data updates, thank-you communications, and reporting needs.
Requirements
- Excellent written and verbal communication skills.
- Comfortable communicating with volunteers, donors, corporate partners, staff, and community members.
- Detail-oriented and able to manage multiple tasks, dates, and deadlines.
- Ability to work independently while also collaborating closely with a team.
- High school diploma or equivalent required.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)
- Ability to use widely supported internet browsers.
- Access to reliable transportation.
Nice to have
- Prior experience in volunteer coordination, nonprofit administration, community engagement, customer service, events, hospitality, or administrative support preferred.
- Experience working with volunteers, community groups, corporate groups, donors, or nonprofit partners is a plus.
- Experience with event registration, databases, spreadsheets, or volunteer management platforms is helpful.
- Associate’s or bachelor’s degree preferred.
