The company is seeking an Executive Assistant / Events Planner to support a high-end luxury events company serving affluent business owners and high-net-worth clients. The role blends executive support, event coordination and concierge services, guiding each event from initial planning through flawless execution. The person works closely with clients, suppliers and premium venues to ensure every event is seamless, sophisticated and delivered to the highest standard. Discretion, relationship management and attention to detail are central to the position, which operates in a fast-paced environment.
Responsibilities
- Assist in planning and executing luxury events for business owners and VIP clients.
- Coordinate event timelines, logistics, and schedules.
- Research and source premium venues, suppliers, and service providers.
- Manage bookings, reservations, and event-related documentation.
- Ensure all event details are communicated accurately and executed seamlessly.
- Act as a concierge point of contact for clients before, during, and after events.
- Build and maintain strong relationships with clients, venues, and suppliers.
- Handle special requests and provide personalized support to deliver exceptional client experiences.
- Maintain a high level of professionalism, confidentiality, and discretion.
- Manage calendars, appointments, and scheduling.
- Coordinate meetings and travel arrangements when required.
- Prepare presentations, reports, and administrative documents.
- Organize emails, follow up on action items, and maintain records.
- Support daily business operations and administrative tasks.
Requirements
- Proven experience as an Executive Assistant, Event Planner, Event Coordinator, Concierge, or similar role.
- Excellent organizational and multitasking skills.
- Strong written and verbal English communication skills.
- Experience managing suppliers, bookings, and client relationships.
- Ability to work independently and proactively solve problems.
- High attention to detail and strong time management skills.
- Professional, polished, and customer-service oriented.
- Comfortable working with high-profile or affluent clients.
Nice to have
- Proficiency with Google Workspace, Microsoft Office, and project management tools is preferred.
- Previous experience in luxury events, hospitality, concierge services, or executive support.
- Experience coordinating corporate, networking, or exclusive private events.
- Familiarity with CRM, event management, or scheduling platforms.
Benefits
- Part-Time: 20 hours per week
- Rate: $10–$15 AUD per hour (depending on experience)
