The Activities & Events Coordinator is responsible for planning, organizing, facilitating, and evaluating participant activities, recreational programs, and special events at a flagship Austin clinic. This hands-on role involves every stage of programming, from preparation and setup to leading activities and post-event cleanup. The coordinator will interact directly with participants, manage logistics, track attendance, and provide administrative support. Success requires creativity, flexibility, strong organizational skills, and a genuine enthusiasm for engaging with participants.

Responsibilities

  • Plan, organize, and facilitate engaging participant activities, events, and special programs
  • Lead and actively participate in activities, encouraging involvement and creating a welcoming atmosphere
  • Prepare activity materials, supplies, schedules, and event spaces in advance
  • Set up and break down activity spaces while ensuring all materials are organized and available
  • Coordinate day-of event logistics and provide hands-on support throughout activities
  • Track attendance, participation, and maintain accurate activity documentation
  • Monitor inventory and assist with ordering or organizing program supplies
  • Communicate professionally with participants, staff, and other stakeholders
  • Provide administrative support including filing, scanning, copying, data entry, and correspondence as needed
  • Maintain confidentiality, professionalism, and a participant-centered approach
  • Assist with special projects and other duties as assigned

Requirements

  • High school diploma or equivalent
  • Previous experience in activities coordination, recreation, event support, customer service, or a related field preferred
  • Strong organizational skills with excellent attention to detail
  • Creative, proactive, and able to think on your feet
  • Excellent verbal and written communication skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Comfortable working independently and as part of a team
  • Basic proficiency with Microsoft Office and other computer systems
  • Professional, dependable, and committed to maintaining confidentiality

Nice to have

  • Experience planning or leading group activities, recreation programs, or events
  • Experience working with diverse populations in an inclusive and respectful manner
  • Familiarity with scheduling systems, attendance tracking, or inventory management
  • Comfortable engaging directly with participants and leading hands-on activities
